Subject

About Subjects

The "Subject" field provides a place to record the general, overall topic of the item. Important notes about this field:

  • THIS IS AN OPTIONAL field. If you are not sure how to fill it out, leave it blank.
  • Entries in this field should get at the "aboutness" of the item, not just whether it is tangentially related to a topic. Ask yourself, "Is this item actually about [topic]?"
  • Geographical locations should be put under the Place field instead of Subject.
  • You can enter multiple subjects for a single item; use the "+" to add another term
  • The Commonly-Used Subject Terms list is below. Whenever possible, instead of making new subject terms, choose from one of the terms on this list.
  • Any new subject terms should always be taken from an established thesaurus.
This is important because in order for subjects to bring together items on the same topic, we have to all be using the same vocabulary terms. For example, if one person called their picture of a cat, "Subject = Cats" but another person called theirs, "Subject = Felines," they would not be grouped together. The main two thesauri that we have used to get new subject terms are the: Library of Congress Subject Headings and Getty Art & Architecture Thesaurus. These thesauri were designed by/for professional librarians, so they're not very user-friendly for lay people. We suggest pulling from the existing "Common Subjects" list below, instead, whenever possible.
