Entering Students

Student Fields which must be completed for enrollments, attendance, and baseline reports and rosters to work:

  • student first name, last name, student id, school, grade,

  • Your school or site is entered in preferences.

  • Homeroom teacher is entered if you are using the homeroom roster

Fields which must be completed for required end of year reports to work (These do not have to be entered immediately, but must be entered before all the required reports will work. You can enter this info after attendance records have been created.

  • All fields in the ethnicity/other tab/left side

Other Fields and how they are used

  • All fields can be exported but...

  • medical/notes goes in the emergency report found in the main menu and the program contacts roster

  • Birthday goes into the birthday report

  • Street address and pickup info goes into the bus report and contacts and/or contacts plus roster

  • Contact info is used for the emergency report and contact roster from the main menu

  • Accomplishments can be printed as a PDF report

  • Misc boxes, and doctors and dentists are for exporting only; not used in any database report

  • student phone, email, and notes are not used in reports but can be exported

In student list view, you should always scroll through all students to make sure you do not have any error messages in red, in the right hand column, especially after upgrading data form another file
