Control N= New record (Substitute Command for Control, if using a Macintosh.)

Tab to move across fields, Hit Shift /Tab to move backwards across fields

Red error messages:

The red flag and writing on the right side can show various error messages. In Student, it may indicate a duplicate name. In Attendance, it may indicate a conflict of name/program/day. The full error message can be seen by clicking in the red field . Use the error messages to keep your data clean. Table view (see scripts menu) shows the most detailed level of attendance data in the database.

Passwords

There are three passwords and three entry points. The default password access that gives you the control you will likely need is user/peaches. Also students can go in as student/letmein. There is an administrator password which allows access to private student information. Only those with a right to know this data (determined by administration) may use this access point.

Buttons

The oval buttons at the top and scripts menu choices at the very top can move you around the database. Click a button once for full view and again to toggle back to list view.

Full View

Use full view for inputting and list view for looking only. Click a button once for full view and again to toggle back to list view

Main Menu

The Main Menu is the place to take attendance

Icons

Icons allow you to perform certain actions within the database such as enroll and take attendance. Working from the main menu is best, rather than using icons.

Bubbles

These are used in the database to give help

Help=Website

The help button will bring you to an outside website in a new window (this one) designed for this database

Sorts within files

One click sorting can change views within the database. These are located in the blue header and are underlined

Auto Enter

The auto enter feature pre-populates fields when new records are created.

Running Through Records

Clicking on the book in full view on the left hand upper side can move you from record to record. Notice how the number changes. In the little scroll bar below the book, you can click in this bar or drag it to move through many records quickly.

Inactive boxes:

Check these boxes to remove (student names/program names) from the pop-up menus. Only active staff show up in the staff report so be sure to have inactive staff checked as active when viewing reports! Making a student inactive also has an effect on ROSTERS where an X will appear in rosters signifying they are not in the program (for that day)

Scripts

In the report section scripts will be run ( a calculation) and you need to close the report window after use on the upper right hand side to get out of the script and to move on. Also on the scripts menu at the top-you can find attendance records, upgrading, and more.

Save Prompts

Some fields will ask automatically if you saved ( a save prompt) but data is saved once it is entered. ( A daily back up is a good habit to foster and it should take 5 seconds anyways).

Found Sets

When using finds, many pieces of the database will show only the found set of records. To show all records at any time, hit control J (PC).

Printing Reports

Reports can be printed as a PDF or as an excel spreadsheet

If you see "No Access" in a field, it your access privileges do not allow you to view it.
