This section provides detail on how to calculate fares for full-time and part-time riders, which can be determined using the fare calculator.
There are 2 types of part-time riders:
Regular part-time riders
These riders may ride on a regular schedule, but commute with the group for less than 50% of trips (due to part-time work status, hybrid work schedule, or 1-way participation). Their fares can easily be calculated using the Fare Calculator. Regular part time rider fares are calculated, paid, and reported along with full-time riders.
Occasional riders
These riders may ride only occasionally (approximately 1 time per week) or on an irregular schedule. If your group has occasional riders, please contact your Accounting RSR for guidance.
The Fare Calculator provides you with the fare values for each full-time and regular part-time rider to include in Section 5. You may need to adjust a rider’s fare by a few cents in order to balance.

Vanpool Fixed Rate
Enter the fixed rate fare found in Section 4 based on the vehicle size, RTM and group schedule.
You can also use the Vanpool Program Fare Schedules to find the monthly fares for individual participants.
Although the monthly report template will auto populate your group’s monthly rate for you, there are times you may want to use the Vanpool Program Fare Schedules, which detail the different rates based on vehicle size, daily RTM, and work schedule. For example, the fare schedules are needed to determine daily rates for occasional part-time riders.
The schedules have two sides, with one side providing monthly rates and the other displaying the rates calculated on a daily basis. Daily rates are used to prorate and calculate fares for part-time riders.
If you have occasional riders (approximately 1 ride per week) in your group paying their fare from the previous month, alongside other riders paying their fare for the upcoming month, you will need to adjust the monthly fixed rate fare for the rest of the group accordingly.
Calculate the daily fares for each of the occasional riders from the previous month using the daily fares from the appropriate Fare Schedules.
Total all the daily fares for the occasional riders.
Subtract the total occasional part-time fares collected for the previous month from the group’s fixed rate for the upcoming month.
Use the Fare Calculator tab to calculate the individual fares for the rest of the riders.
Some groups offer to cover the monthly fare of their primary driver as a courtesy. In these cases, the remaining fixed fare is split among the other participants. If your group chooses this option, please let your Accounting Rideshare Service Representative (RSR) know.
