Subject: inquiry on medical illustrations
Dear Peg,
Please advise on how we can use your illustrations as found in the Louisiana Women's Right to Know booklet and website. We intend to closely duplicate this information for our own legislation here in Guam. Thank you.

Hi Tim:
Thanks for your inquiry. I would be happy to lease this set of 20 images to you for your WRTK legislation requirement. The cost depends on the following:
1. Will this be for a printed brochure and for the web, or for web only?
2. In how many languages will the website/printed brochures appear?
3. How large will each image appear on the web and in the printed brochures? Most states have chosen 252 pixel images for the web and 3 inch (300 DPI) images for the printed brochures.
4. Finally, do you want just the 20 biweekly images, or will you want a full set of 40 weekly images?
Once you let me know the answers to these questions, I can give you an exact price.
Kind regards,
Peg Gerrity

Thank you for your reply. My answers are below.
Tim Rohr
1. Will this be for a printed brochure and for the web, or for web only?
[Currently planning only a booklet.]
2. In how many languages will the website/printed brochures appear?
[Could be up to 3 languages. However, depending on costs. We may just limit it to English.]
3. How large will each image appear on the web and in the printed brochures? Most states have chosen 252 pixel images for the web and 3 inch (300 DPI) images for the printed brochures.
[The 300 DPI]
4. Finally, do you want just the 20 biweekly images, or will you want a full set of 40 weekly images?
[Just the biweekly images.]

Hi Tim:
The cost varies depending upon which languages you need (ex: English, Spanish, Chamorro vs. Chinese, etc). The usual agreement I've had with the US Departments of Health have been for printed brochure plus web usage, in Spanish and English, with 20 biweekly images for a total fee of $16,000. If your 3 languages are English, Spanish, and Chamorro, then I would include usage in the third local language brochures for free.
Leasing 300 DPI images for the printed brochure alone would be $8500. Leasing for the web at a later time would be $8500, so if you know you'll need web usage in the future, you may want to go ahead and lease both now to save $1000.
Let me know how you would like to proceed.
Peg

Hi Peg,
We are still interested in leasing your images as per our conversation copied below. A few more questions:
1. Could you give us a price for 3 languages. We are looking at English, Chamorro, and Tagalog.
2. Do you have other illustrations for a 6 week old fetus (other than the one used in the Louisiana WRTK information which we are using as our model)?
3. We are not looking to use for the web right now. Just printend materials. Probably about 5000 brochures or booklets. Would there be a limit on the number that we can print?
Thank you.

Hi Tim:
The price for print usage only (no digital or web) in 3 different language brochures (English, Chamorro, and Tagalog) will be $7880 U.S., and you could print as many as needed. Attached is the only other existing option I have for the 6 week fetus, showing a more frontal view. It would cost an additional $300 US to change the background and remove the placental membranes so that this image matches the other images.
Let me know what you think.
Thanks,
Peg

Hi Peg, we finally have a bill that is read to go forward and plan to use your illustrations for our booklet. One of the issues that might come up during the legislative debate is the credibility of the illustrations. I see the credentials on your website. Should we just use that or do you have something that you could send us?
Also, do you require credits for your illustrations in our booklet? If so, please provide how it should appear. Thanks. Hopefully the bill passes soon and we can proceed.
Tim

Hi Tim:
This is great news! To answer your questions:
1. I will include a watermark on each fetal image for the brochure that displays my copyright insignia ©peggerrity.com
2. RE credentials: I have a Master’s degree in Medical Illustration and am a Board Certified Medical Illustrator and Fellow of the Association of Medical Illustrators. Over the years, I have worked with various doctors while creating my fetal development images, including Neonatologist Natan Haratz-Rubenstien, MD and OB/GYN Marie Sohner, MD.
Following this letter is a list of the medical reference texts I used to create the images for the WRTK brochures.
Please let me know if you need anything else.
Kind regards,
Peg

Hi Peg,
This is Tim Rohr from Guam. We are still working on the legislation that will allow us to move forward with using your images for our brochure.I apologize for not keeping in touch on this. One question we had was in regard to switching out the 6 week image currently used in the Louisianna booklet with the 6 week image (attached) which you sent us as an alternate. Was there any extra charge for using the alternate image?
Also, I am copying Shane Intihar on this conversation as he is the attorney who is helping us move forward with the legislation and assembling the booklet.
Thank you for your help and patience.

Hi Tim:
Thanks for contacting me again. As per the email below, it will cost an additional $300 to change the background and remove the membranes so that this image matches the others in the set. The total cost for the printed brochures only (no digital or web usage) will be $8180.
Just an FYI: I’m not sure how quickly you wish to move on this, but I will be out of the studio from June 1 – June 9.
Kind regards,
Peg Gerrity

Thank you, Peg. There still is much to do with the legislation before we can move forward. So we'll be okay until you come back. Thank you for your prompt reply.

Hi Peg,
Thanks for your quick response to Tim's email. I have one question and one request. What is the cost if the brochure is printed in just one language? Also, could you please send me your standard form license agreement? Thanks.
May 29, 2013
Hi Shane:
The price would be the same for an English-only brochure, as I reduced the rate for Tim already and am including the Chamorro and Tagalog languages free of charge.
My standard license agreement with the US State Departments of Health includes web, PDF, and printed brochure usage. Since Guam is only going to license print usage, the contract will be different, so I will put that together for you and send it out later today.
Kind regards,
Peg Gerrity
