Start planning a couple months before the event, especially if you plan to run this across several buildings. You will need time to:
* identify resources e.g. staffing, room locations, equipment, activities, bussing if needed, field trip forms if traveling, etc.
* schedule time for training, set up, execution, and clean up.
Our event is currently a voluntary one. Staff is not required to run an event but students should be allowed to attend an event if they are interested. Of course, they should make up any missed work.
Checklist for Running an Event
Lockdown date & times (Elementary 12/4/M, MS 12/8/17, 12/6 HS)
Block out equipment on all calendar sign out sheets (modify this as we get closer, releasing equipment)
Show Hour of Code, Code Stars Video or something comparable and age appropriate
Recruit presenters & helpers for the activities example. Hour of Code - Staff (modify)
Send permission slip to student presenters for transportation to other buildings.
Check software/hardware - Are installs needed? additional cables? blacklisted sites?
Chromebooks, iPads, other devices, do they work in which rooms, check HDMI with projectors or Apple TVs.
Verify that student accounts work with the suggested web programs, e.g. App Inventor and equipment.

Student signup example. - Hour of Code - Participant Sign Ups. Once the sessions are in finalized, students should sign up for first and second choices. Use this data to build attendance sheets and to identify room locations based on numbers. This form has to close a few days before the event to allow time to create and release schedules.
