GUIDELINES FOR SUSS COMPETITION GROUPS
The purpose of SUSS CG is to provide students with opportunities to participate in varsity, national and international competitions as a means to enhance their college experience and develop holistically as leaders.
With the support SUSS Student Life (STL), students in SUSS CGs manage and lead their respective competition groups from the initial setup to training for competitions to organising sporting events for the community. Through their participation in SUSS CGs, students gain experience in the areas of group organisation, problem-solving, budgeting, time management and non-profit governance.
Application Criteria
Student Status
Academic status of the student: Active Paid
Student must not have any negative track record in SUSS
Competition Requirements
Students must meet the requirements of the competition by the organisers (e.g. minimum number of members, qualifying time and position requirements, etc.)
Team Leader Requirements
At least 1 team leader (Chairperson, Vice-Chairperson, Captain or Vice-Captain) should have at least achieved a Top 5 position in previous competitions within the past 5 years
Support Provision
For CGs that meet the above criteria, a standard support will be provided (subjected to approval). Other additional funding will be evaluated based on CG Sustainability Evaluation Framework and individual CG Performance.
SUSS CG Sustainability Evaluation Framework
Training Support
For the first year, new CGs that have been approved to receive Training Support will
Receive subsidy for a total of 26 training sessions (venue rental & coach fees)
Be subjected to year-end review based on Evaluation Matrix
Evaluation Matrix
From a CGs' 2nd year onwards, CG will be subjected to the following evaluation criteria for that year and funding structure will take effect in the following year after evaluation
* A CG that does not organize at least 1 Sports for Good event in a year, will automatically have a reduction in Performance grade:
A CG that has attained P1 will get a reduced Performance Grade of P2
A CG that has attained P2 will get a reduced Performance Grade of P3
A CG that has attained P3 will receive a warning and if SFG criteria is not fulfilled for 2 consecutive years, they will only be eligible for Standard Support Provision and have to self-fund all training sessions in the following year.
** For e.g. a SUniG CG that has attained 2nd in SUniG, a podium finish in IVP, and a P1 Grade will receive a total of 46 + 8 training sessions in the following year
The following indicators will also be taken into consideration
Maintaining branding and reputation of SUSS
Respectful and effective communication (text, email, face-to-face, etc.)
Invovlement in SUSS CG-related events
Team's effort and commitment (e.g. training attendance, logistics, refreshment support)

In a year, CGs should submit forms to STL by 12 December of the year:

CG Executive Committee (EXCO)
The CG EXCO should consist of at least 2 members of the following:
Chairperson and Vice-Chairperson (Chosen from Outgoing Chairperson and Vice-Chairperson)
Captain and Vice-Captain (Chosen by Coach)
If the CG EXCO requires other roles for the CG administration purposes (Attendance IC, Welfare IC, Finance IC, etc.) it will be up to the individual CG discretion.
Only the Chairperson, Vice-Chairperson, Captain, and Vice-Captain will be provided with certificates for their contributions to the CG.
If other roles require certificates, please email your respective Staff Mentors with justification for their contributions.
EXCO Handover
All CGs are encouraged to conduct their EXCO handover during the November to December months in that particular year with the new EXCO officially taking over in January the following year.
Outgoing EXCO is expected to mentor the incoming EXCO during the Handover period until the incoming EXCO officially takes over.
During Handover, the outgoing EXCO should provide the details of the incoming EXCO in the Annual End-of-Year Report.
Incoming EXCO should submit a RAMS form for the CGs for the following year.
Please approach your Staff Mentors if your CG requires alternative EXCO handover arrangements.
Storage Space
Please approach your Staff mentors if your CG requires storage space for your CG logistics.
Coach Matters
Coach Payments
EXCO/Coach should submit their Coach Timesheets in the middle of a particular month for the previous one month.
For e.g. Coach Timesheet for 16 Jan - 15 Feb should be submitted by 15 Feb.
Any delays in timesheet submission would mean delays in payment disbursements to Coaches.
Coach should receive their payments one month after timesheet submission.
If there are any delays, please approach your Staff Mentors and they will check on the payment progress.
Coach Annual Review:
A yearly coach review will be done at the end of the year.
Staff Mentors will send the Coach Annual Review Survey to the EXCO for the CG members' evaluation.
If the team wishes to change the CG's Coach, please approach your Staff Mentors and they will advise accordingly.

CG Email
Every CG should have their own CG email address, preferably a Gmail account to be connected to Google Drive
This CG email address will be shown on SUSS websites and any enquiries related to the individual CG will be directed there
CG Google Drive
A Google Drive connected to the CG email address should be created
This Google Drive should contain the CG Attendance Tracker, Claims' receipts, and other templates/proposals/publicity that involves CG administration

Frequently Asked Questions (FAQ)
If I have friendlies, how will it be accounted as part of my training sessions?
If a CG has friendlies and is required to pay for venue and miscellaneous fees (referee fees, etc.), it will be considered one training session. If there is a need for coach payment, the number of coaching sessions will also reduce by one accordingly.
What happens if I have used all the training sessions support by the school?
Extra training sessions on top of what has been provided by the school will need to be self-funded by the CG.
What happens if my team is unable to make it for a school supported training session at the last minute?
The CG is encouraged to not cancel training sessions last minute. If the training session cannot be postponed and the venue needs to be paid for with no actual training being conducted, this training session will be considered as 1 training session and will be deducted from the total number of training sessions supported by the school.
What happens if my coach is unable to attend one of the training sessions supported by the school?
If the venue has been paid for by the school, it will be considered as 1 training session and will be deducted from the total number of training sessions supported by the school. The total number of coaching sessions will not be deducted.
What happens if my coach has trained the CG at a venue that is free/not supported by the school?
The total number of coaching sessions will be deducted. However, the total number of training sessions supported by the school will not be deducted.
What does the CG do if the team has won prize money from a competition?
In the event the team wins any prize money, the team will have to organize and self-fund an additional event that is related to the competition group to benefit the SUSS community within 6 months after the competition.
Note: Teams are encouraged to fund the event with the prize money from the competition.
What do I do if my team is looking to change our coach?
OST will conduct an annual coach review for all CGs. Please raise this request to change coach to your respective staff mentors during this period.
Would my CG be able to collect membership fee from our CG members?
Currently, CGs are not permitted to collect membership fees from their members.
I would like to start a recreational team within my CG, how do I go about doing this?

What happens if I can find cheaper training venues from our current location? Can we utilise the budget to have more training sessions?
STL prioritizes the quality and availability of the training venues to ensure that our CGs are well-supported. If the CG is able to source for cheaper alternatives that serve the CGs' needs effectively, please approach your respective staff mentors to discuss on teh different options. However, STL will consider any training session supported by the school as 1 training session regardless of the cost of the training venue.
Sports for Good (SFG) Requirements
Objective of Sports for Good
The objective of Sports for Good is for CGs to contribute back to the community through the active usage of skills related to the individual sports. Thus, this Sports for Good event should benefit either the SUSS community or an external community.
Sports for Good Criteria
To meet the Sports for Criteria, the event should:
i. Benefit the SUSS community or external community
ii. Involve 20% of the CGs members
iii. Involve skills that is related to the CG's sport
Sports for Good Funding
The SUSS Sport for Good Fund supports CGs in organising sporting-related programmes benefitting the underserved community.
CGs that wish to hold an event for SFG is entitled to $500 to upwards of $2000 of funding from the Sports for Good Fund, subject to approval from STL.

Sports for Good Period
As part of the CG Sustainability Evaluation Framework, CGs are encouraged to hold multiple SFG events throughout the year. STL has thus created a Sports for Good period where CGs should hold their SFG events. These periods are:
i. Jan - Apr
ii. Nov - Dec
The number of SFG events within these 2 periods would be counted towards the CG Sustainability Evaluation for that particular year.
