Minutes of the SACTA AGM November 24th 2018
Steve Taylor welcomed everyone, and passed on Mary's thanks for the plant sent from SACTA.
Apologies: Mary Wobma, Wilf Young-Lai, Susan Marpole
Approval of the minutes from the 2017 AGM: The minutes were approved, acceptance moved by Keith Wobma, seconded by Irene Scarratt. Carried.
Treasurer's Report: The financial report provided by Irene Scarratt was presented and Irene reviewed the details and the summary. Irene proposed that the financial summary should be attached to the minutes. Chris Taylor proposed that the current and previous years summaries be added; Mike power seconded, carried. An email address should be provided with the financial summary so that any questions can be directed to the appropriate person – agreed.
Steve thanked Irene for her many years as the SACTA treasurer. Her experience and expertise has been much appreciated.
Membership Report: Jenni Loudwell reported the membership this year was 102, compared with last year's membership of 88. 24 members from 2017 did not join this year and there were 38 new members this year.
No reasons/comments were received from the 2017 members not joining this year.
Tournaments Report: Mark Clark reported the playing of the club tournaments on the same weekend (new this year) was a success. Mixed doubles had the highest entry, ladies and mens doubles entries were less popular. Discussion: Continue with the playing of the matches on one weekend. Dates TBA. The ladies doubles format resulted in many matches needing to be played to determine the winners. Consideration should be given to a less involved format for next year. It worked well with the other draws. We should look for ways to encourage more members to take part. Make sure members know that they can enter without a partner and matching will be done where possible.
The Wake Up tournament was not well attended. Better promotion of the event is needed as it is held at the beginning of the season. Advertising for the tournament should begin in April/May with the details sent to the Courier, an eye catching poster be developed and Facebook be used to actively promote the day. It was suggested we ask Ted Michener be invited to use the opening of the season as a subject for his weekly cartoon in the Courier.
The Memorial tournament was very well attended. Wilf Young-Lai's report noted that 28 players was the best entry for many years. dDebbie Martin -Robichaud id a great job cooking the hot dogs and hamburgers. Winners were – Sree: Joan Lowden and Hugh Drummond. Lyman: Audrey Patterson and David Robichaud.
Tennis NB Masters. This was the ninth year we have hosted the tournament. 74 people registered with 66 playing due to Saturday's play being washed out. We thank the Lyman and Leighton families who again allowed us to use their courts. All matches were played on Sunday with the last one completed at 8.45pm. Thanks go to the local businesses and all the volunteers for their support.
Lessons Report: Adults. Numbers signing up were disappointing with nine people taking part. Three new members came from this group. The lessons were well advertised in the town.
We will use our Facebook page to promote the lessons and ask the Courier to print an article about SACTA's lessons. Derek Stafford reported and thanked all who helped with the lessons.
Youth. There were 24 at the camp, Keith Wobma's report was presented. There are plans to increase the number of children and adults involved in tennis. Keith also indicated that he will be responsible for youth and adult programs though this has not been discussed with the others involved.
Social Convener's Report: There was no report presented. Discussion with regard to the food for the Masters tournament – we will look into the possibility of the sandwiches and other food items be made by members as a way to reduce costs. Caroline MacDougall, the social convener for 2019 (see item 9 below) will look after working out the details, assisted by Chris Taylor and any other members interested in helping.
Other Business:SACTA has been approached by the town to contribute to the repair and resurfacing of the courts. Correspondence from SACTA to the town was provided to the meeting. SACTA has committed to a fundraising amount of $20k. Discussion followed. Fundraising will begin once we receive written confirmation from the town that the project will go ahead.
Membership Fees. Francie Lord proposed that as the fees have not changed for many years it is time to increase them. A motion to increase single fees to $40.00 and family fees to $60.00 was made by Francie, seconded by Mark Clark. Carried.
Derek Stafford reported that Matt Morrison of the Saint John District Tennis Association is involved with a business plan to provide indoor tennis in Saint John. He is collecting tennis club member numbers in the area. Derek will forward our member numbers.
