Participants' air travel accommodations have been booked either through TLA or independently. Please refer to the email that you received upon booking from the airlines with your flight information and confirmation number. For up to date information on your flight, you can visit your airline’s website and find your trip using the confirmation number provided in the email. If you cannot locate this email, and you booked through TLA, please reach out to Lauren at Lauren.Taranowski@gmail.com.
Around 24-hours in advance of your flight, you will need to check in and can then access your boarding pass. This can be done on a mobile device. If you prefer a hard copy of your boarding pass, you can have one printed at the airport upon arrival.
For information regarding the arrival and boarding process for Amtrak, please refer to their website here. An “e-ticket” was emailed to you upon booking and will need to be presented when boarding. Assignments for getting from Ronald Reagan Washington National Airport (DCA) or Union Station to the hotel, and back on Thursday, have been assigned to all participants flying. Transport has been assigned based on arrival and departure times.
Assignments will indicate whether you should take a group shuttle, the hotel shuttle, or an rideshare (reimbursable), along with all the corresponding details and instructions. Some participants may need to wait at the airport for their shuttle upon arrival - in most cases, not more than 30 minutes. At your assigned shuttle time, please proceed to the designated pick-up area and check in with the driver.
For your transportation assignment, please refer to your assignment in the Know-Before-You-Go email that you received on Wednesday, April 2.

The Learning Agenda will reimburse participants for the following travel costs and incidental expenses:
Transportation to/from Washington, DC by coach-class air up to $400. Increased travel funds are available on a case-by-case basis. Please contact Lauren Taranowski for pre-approval prior to reserving a flight that exceeds $400. If you do not request prior approval, your airfare reimbursement will be capped at $400.
Transportation to/from Washington, DC by coach-class train up to $250. Increased travel funds are available on a case-by-case basis. Please contact Lauren Taranowski for pre-approval prior to purchasing a ticket that exceeds $250. If you do not request pre-approval, your train fare reimbursement will be capped at $250.
Personal automobile travel to and from Washington, DC. Reimbursement will be according to IRS guidelines and rates. The current rate is $0.67/mile. You must submit a map with directions and miles traveled with your reimbursement request.
If you cannot use the assigned group transportation from the airport, rideshare services, taxis, or public transportation are alternate options that can then be reimbursed. Please consider availability, personal safety, and cost when making your decision. Car rentals will not be reimbursed.

All submitted expenses must be reasonable. You MUST retain your original, itemized receipts for all reimbursement requests. Receipts must detail the vendor name, the item(s) purchased, the date, and the amount. The actual vendor sales receipt is required because credit card statements generally do not include all the required information.

We ask that you bring together your convening team for a 75-minute meeting to go over the following agenda. This meeting can also be shortened to around 60 minutes if the group decides to read the articles in advance. We request that you wait to have this meeting until after the upcoming Fairfax Webinar which takes place on Tuesday, March 18th at 2:30.
As you’ll see, we’re talking about scale! We’re excited to dive into this topic with you all down in DC. We’ll have dedicated time both at the convening as well as later in the spring to incorporate this learning into your SY25-26 Work Plans. We hope to streamline the overall process for what each grantee will be asked to submit in your interim report to Barr in June.
As you go through the agenda, we ask that you capture brief reflections and notes in this shared Google doc. Completing this meeting, inclusive of reading and discussing the articles and attending the webinar, comprises all of the pre-work that we ask you to do.
