To serve as a hosting school or company, your facility must be able to accommodate at least 200 students and volunteers for a written contest on a Saturday in February. Typically, we select a weekend near February 8th or February 28th.
8:00 AM: Volunteers arrive to unload materials and prepare testing areas.
8:30 AM: Student arrival.
3:30 PM – 4:00 PM: Contest concludes (times may vary slightly).
5:00 PM: Site cleanup completed and departure.
Seating: The site should be able to provide sufficient tables and chairs for all students and volunteers. If large tables are used, we will use table dividers.
Flexibility: We are quite adaptable regarding space for parents and spectators. If seating is limited for the Countdown Round and Awards Ceremony, we can permit standing room and floor seating for audiences.
We will remind all students to maintain your facility’s cleanliness and emphasize to them strictly adhere to all site rules and requirements throughout the event.
Cleanup: We will do our absolute best to maintain cleanliness and tidy up any messes.
Insurance: The National MATHCOUNTS Foundation routinely supplies insurance for chapter competitions upon request.
The insurance coverage includes:
General liability (commercial)
Automobile liability (Note: The insurance is secondary to the driver’s insurance.)
Excess liability (umbrella form) and workers’ compensation and employers’ liability
Sexual/Physical Abuse liability
Volunteers:
You may encourage your employees or parents to volunteer, though this is not required. We are fully prepared to bring enough volunteers to ensure the event runs smoothly.
Conflict of Interest: If a volunteer from your organization has a family member competing in the event, they are ineligible to serve as a proctor or scorer within the testing and scoring areas. However, we would welcome their help with any other event tasks.
Hosting provides a premier opportunity to engage with parents, professionals, and the next generation of engineers, scientists, and mathematicians. It is an excellent way to showcase your organization and celebrate your success within the community.
