Mailings are sent to prospective students on our database for most trips. A variety of letters and postcards are mailed out to prospective students prior to any fair, high school visit, or pizza party, which inform the students of the counselors's visit.
In addition, high school counselors also receive materials that relate information about the admissions counselor's visit. The letters include a schedule so that prospective students will be able to connect with the counselor during their visit. Hannah (Communications & Promotions Coordinator) is responsible for mailing the letters and schedules and counselors are responsible for preparing the mailing materials for her. If they are unable to prepare the material, it is the counselor's responsibility to ask a teammate or Hannah to prepare the materials.
Anders will connect with the Promotions Coordinator, Hannah, to determine the mailing dates for each upcoming trip (example 1).. Once counselors are assigned their destinations for the season, they are then responsible for completing the required mailing documents by the dates indicated on the schedule.
There is an Excel sheet that is shared by Anders and living in the S: Drive to reference in case you ever lose your original sheet, need to reprint it, change dates (if approved by Anders), etc. The dates on the sheet are:
2 weeks out (of the trip): mailing file to Hannah/Nick/Anders
2 weeks out (of the trip): final schedule to Hannah and Anders
1 week: email file to Nick (The email's template, and zip codes you would like it sent to)
After the meeting, it is recommended to refer to the "first 3-digit" zip code book in Anders's office. This will help you determine appropriate zip codes to include in your schedule emails (which will go to Nick). (example 2).

Using the visit posters, fill in the specific visit information for each high school visit (example 3).
Stack posters in the ORDER of visits listed on your schedule. Double-check to make sure that posters are in the correct order.
Print off a copy of your schedule for the Communication and Promotions Coordinator and email a copy to them as well (example 4).
If there are any schools that need to receive a pizza party flier (if the school itself will not be visited, but MSU wants to announce a local pizza party) be sure to include them at the bottom of the schedule and put the corresponding posters at the bottom of the stack (example 5 – use the correct poster, this is different than the counselor HS visit sheet).
Based on your travel information, the Communication and Promotions Coordinator will create a travel schedule packet to be sent to counselors.
These trips undergo the same process as trips with high school visits (get Hannah your schedule and create a travel email, give the template and zip codes to Nick), however, the only difference is not having to create posters to send to counselors in high schools. If there are pizza parties on your trip, again the same process happens, but if not, no posters are needed for the area schools.
