Once you've met with students during an MSU campus daily visit, you'll need to code them in Reach to log that they came for the visit and to make sure they are in our system and receive our communications/emails. For the visit, the Campus Visit Coordinator should have given you the visit sheets with the student information on them. You'll use these sheets for this process.
Visit sheet example
Login to Reach (https://cne-101031.crm.dynamics.com/) . Make sure you use your netID email and not your standard with your name. Your password is the same you use for your standard email. Example: netID@msu.montana.edu [netIDpassword].
You'll need to be in the "Admissions Bozeman" app. (Example 1)
Example 1
3. On the main page, you'll see the bar on the left. Under "Constituents," you'll click on "Contacts." Example 2
4. Use the search bar in the upper right to see if the student is already in the Reach system. If a student pops up, check to see if their email or birthdate matches. If so, you don't need to create the student from scratch, you just need to code them. Example 3.
If no student pops up (after searching names, emails, etc.), then you'll skip to the last section.
If the student already exists in Reach:
5. Click on the student's name. Example 4
6. Click on the "Inbound Interest & Lifecycles" tab. Click "+ New Inbound Interest." Example 5
7. In SOURCE, fill out the following: Example 6
Type: Undergraduate Admissions
Program: (There is a sheet of Major and Concentration Banner Codes that the campus visit coordinators can get you a copy of). If the student selected a department meeting on their schedule (shown on the visit sheet), then you can add that in this section. If they don't, add University Studies.
Expected Start: Type the year, the select the term in the pop up menu
Method: Campus Visit
Category: Campus Visitor
8. Save and Close
Then, you are done coding that student!
If the student does not exist in the system yet:
5b. Click the plus in the top right of the screen (blue/black bar). Select "Contact" in the drop-down menu. You should see “Quick Create: Contact” at the top of the pop up. Example 7
6b. Enter the student's information: Example 8
First Name, Last Name, Birthday (format: 07/225/2007)
You must add a contact type: "student"
Email, Mobile Phone, Mailing: Street 1, City, State, ZIP, Country, United States
Parent Email (Can be found in the Visit System)
Under Initial Source (super important to get this piece right. We cannot edit later):
Student type: New First Time
Date (of their visit)
Program (There is a sheet of Major and Concentration Banner Codes that the campus visit coordinators can get you a copy of). If the student selected a department meeting on their schedule (shown on the visit sheet), then you can add that in this section. If they don't, add University Studies.
Expected Start: Type the year, the select the term in the pop up menu.
Method: Campus Visit
