This section provides guidelines for managing and submitting the Daily Time Record (DTR) of drivers for every cut-off period. The DTR is essential for tracking attendance, verifying work hours, and ensuring accurate payroll processing.
Please ensure that all DTRs are reviewed, complete, and submitted on or before the designated cut-off date. Double-check entries for accuracy to avoid delays in processing.

STEP BY STEP ON HOW TO ENCODE DTR OF DRIVERS
Open the sunfish system log-in my account: https://sf.dataon.com/sf6/index.cfm
Account name: abensongroup
User name: 0501140
Password: Joan123!
Wait for your supervisor to send the DTR photo of the employees or drivers.
Once received, open SunFish
Click Time & Attendance
Attendance Edit
Click the SF Company above (all drivers are under affiliates except Segovia, Sydney)
Type the employee name below active
Type the cut-off period ( 24-8 or 9-23 )
Check the employee’s DTR photo
Refer to the image sent by your supervisor.
Encode the actual Time In and Time Out
Enter the exact Time In and Time Out as written in the DTR.
Set the Shift Schedule based on Time In
Example: If Time In is 7:25 AM, choose Shift Schedule: 09H_0730_1630
Always round up the schedule (not down) to the nearest valid shift code.
For RESTDAY entries
If “RESTDAY” is written on the DTR:
Click the Rest Day checkbox
Leave the Actual Time In/Out columns blank
For HOLIDAYS
If the employee is present on a holiday:
Change the Shift column to FLEX
Enter the employee’s actual Time In and Time Out in the Actual Time columns
In the Overtime section:
Click the plus (+) button
Input the actual Time In and Time Out again
If the employee did not report to work on the holiday:
Simply click the FLEX checkbox
Do not encode anything in the Time In, Time Out, or Overtime columns
Leave all other fields blank
6. For OVERTIME entries
Click the plus (+) button to add an overtime entry
In the Shift Daily Out column, retype the scheduled Time Out
Then, enter the actual Time Out of the employee
REMINDERS‼️
📝If No REST DAY
Default rest day is sunday
In the actual time column, put his actual time in and out according to his DTR
In the shift column, based it on his time in (e.g. Time In: 8:08 am, Shift Schedule: 09H_0830_1730)
Click overtime and put his actual time in and time out
Note: There should be one rest day per week so if you saw that he has no rest day for the whole week, choose the default rest day which is Sunday!
📝For VL or Vacation Leave
In the Shift Column, put his regular shift code (e.g 09H_0800_1700)
For Actual Time Column, leave it blank
In the Other Status Column, find and check the VL
📝Overtime should be minimum of 30 mins
📝For Shift Schedule
No LATE
If the employee’s time-in is earlier than the scheduled start time (e.g., 8:25 AM), you should still set the shift schedule as 08:30 AM to 05:30 PM or 09H_0830_1730 to avoid marking it as late.
No UNDERTIME
If the shift schedule is 09H_0830_1730, the time-out should be 5:30 PM (1730) or later. Any time-out earlier than 1730 will be considered undertime.
Example:
Time In: 08:05 AM (0805)
Time Out: 04:00 PM (1600)
Shift Schedule: 09H_0830_1730
✅ To avoid undertime, adjust the time-out to 1730, not 1600.
