Presentation file submission deadline (All on-site podium presenters)

Prepare for your presentation

On-site podium presentation

  • 15 min for the presentation + 5 min for the Q&A

  • Because of the hybrid setting, we ask you to use our Mac (with Microsoft Power Point, Keynote & PDF reader) that are already installed in the room.

  • Your live presentation will be streamed and recorded via Zoom and shared with all participants via Award.

  • We ask you to upload a video (.mp4; 200MB~400MB) of your presentation (Deadline on August 16th JST).

    • Although this is optional, we highly appreciate if you could prerecord your presentation so that we can share it with the online participants in advance. You are then able to keep it in Award or replace it through the recording of the live presentation.

Online podium presentation

  • 15 min for the presentation + 5 min for the Q&A (via Zoom)

  • We ask you to upload a video (.mp4; 200MB~400MB) of your presentation (Deadline on August 16th JST).

    • Although this is optional, to avoid technical issues (e.g., bad internet connection or screen sharing problem), we highly recommend you to prerecord your presentation.

    • Although this is optional, we highly appreciate if you could prerecord your presentation so that we can share it with the online participants in advance. You are then able to keep it in Award or replace it through the recording of the live presentation.

  • You are able to choose if you would like to present live via Zoom or would like to use the prerecorded talk with a live Q&A session via Zoom. Again, even though you decided to do a live presentation via Zoom, we highly recommend you to prerecord your presentation (Video - mp4).

    • If you submitted your video and you have technical problem during your presentation, we will switch to the submitted video so that your presentation can take place regularly. You then hopefully sorted up your technical issue till Q&A to take your questions live.

    • If you did not submit your video and you have technical problem during your presentation, you will lose time - Please keep in mind that we cannot offer you extra time nor another presentation slot nor change the presentation order.

On-site poster presentation

  • You will present your poster live at the conference venue during the on-site poster presentation slot.

  • The maximum size of the poster is A0 portrait format.

  • We ask you to upload your poster PDF to Award (Deadline on August 16th JST).

    • The size of the PDF should be A4 and max. 20 MB. We recommend a landscape format.

  • We ask you to upload a video (.mp4; 200MB~400MB) of your presentation (Deadline on August 16th JST).

    • Please prerecord your poster presentation to share it with online participants.

  • In addition, there will be a slot for a limited number of on-site flash talks - The details will be posted soon.

Online poster presentation

  • You will present your poster live in a virtual poster room called oVice during the online poster presentation slots.

  • The size of the online poster should be A4 and max. 20 MB. We recommend a landscape format.

  • We ask you to upload your poster PDF to Award (Deadline on August 16th JST).

  • We ask you to upload a video (.mp4; 200MB~400MB) of your presentation (Deadline on August 16th JST).

    • Please prerecord your poster presentation to share it with all participants regardless of time zones.

  • In addition, there will be a slot for a limited number of on-site flash talks - The details will be posted soon.

You can either navigate through your poster and present it or use slides to present the content of your poster as a normal presentation. Of course, the presentation styles are up to you. Feel free to be creative!



FAQ

  • I'm an on-site podium presenter. Should I really prerecord my talk and submit it as a video?

    • This is of course optional for you. However, please keep in mind that not everyone is able to travel to Japan nor watch your talk live due to time difference. Even though we will do our best to be fast, we are not able to edit and upload all talks immediately. Thus, we really appreciate to have your presentation 'already there' in online system so that the online participants are able to watch it when they want!

  • Where can I find a printing service to print out my poster near by the venue?
