Risk Management

If both a student leader and the advisor of a Student Club/Organization have attended a risk management training through the Office of Student Engagement (covered in Club Conference and Advisor Training), Student Clubs/Orgs are permitted to meet without advisors* during on-campus meetings, on-campus events, and off-campus meetings. Advisors are still required to attend off-campus events and travel.

*The Office of Student Engagement may request that advisors be present for events that carry a certain level of risk, but for the most part, these policies will be in place.

Responsibility: What You Need to Know

In an EMERGENCY situation...

Emergencies are defined in this scenario as occurrences that require immediate intervention. If there is impending injury, harm, or danger and things could get worse without intervention, that will be classified as an emergency.

If you are on campus...

  1. FIRST - call Campus Security's Emergency Number (615 - 460 - 6911)

  2. THEN...

  • During Business Hours - call Student Life (615 - 460 - 6407)

  • After Business Hours - call your Faculty/Staff Advisor. Your advisor will update OSE Staff.

*Locate the Quick Resource Guide in the room - it's usually attached to a podium or hanging near the door. This will guide you through campus emergency scenarios.

If you are off campus...

  1. FIRST - call 9-1-1.

  2. THEN...

  • During Business Hours - call Student Life (615 - 460 - 6407)

  • After Business Hours - call your Advisor. Your advisor will update OSE Staff.

In a NON-EMERGENCY situation...

Non-Emergencies are defined in this scenario as situations with which you need help, but that don't involve impending injury, harm, or danger. These would be situations like space conflicts, tech issues, etc.

  1. During Business Hours - call Student Life (615 - 460 - 6407) or Campus Security's Non-Emergency Number (615 - 460 - 6617 ... for things like locked doors!)

  2. After Business Hours - call your Faculty/Staff Advisor - they will contact OSE if they need assistance.

Accountability: What You're Agreeing To

  • Authority: serving as the individual who directs the group in emergency situations and contacts/utilizes appropriate resources

  • Tasks: leaving the room better than you found it - turning off lights and tech equipment, ensuring furniture is where it's intended to be, and cleaning up any mess

  • Policies: complying with all Event Services policies, including but not limited to those pertaining to furniture, food, and tech maintenance

  • Staying Informed: remaining up-to-date with all Office of Student Engagement communications and being aware of all resources within utilized spaces (like the Quick Resource Guide in each classrom)
