VES メンバーの個人情報(住所、電話番号、メール)を共有しない。すべての会員情報は非公開かつ機密です。私たちは GDPR 規則を遵守しています。BoM として、あなたはセクション業務を遂行するために必要な情報にアクセスできますが、法的に意図された目的以外に使用してはなりません。イベント企画のために会員の都市などのデータを送付した場合、それは安全に保管される必要があります。

VES HQ がレビューする前に契約に署名しないでください。

セクションの資金を使用して、理事会メンバーの旅費/駐車場代を払い戻すことはできません。ただし、イベント用の大量の物品(ケース入りの水、バナー)を運搬していて近くに駐車する必要がある場合を除きます。

すべての経費には領収書または請求書が必要です。店舗での会計時や Amazon の「ストアクレジット」をアカウントから購入に使用する際に、個人用と業務用のアイテムを「混在」させないでください。明細付き領収書が必要です。

領収書が手元にあり、経費報告書が作成されるまで、理事会メンバーの自己負担経費を払い戻すことはできません。理想的には、すべての購入は  crowded カードで行い、個人カードは使用しません。イベント経費を計画し、購入前にデジタルカードを作成できるようにしてください。

セクション資金を他の団体に使用/提供したい場合は、VES HQによるレビューが必要であり、検討のために協会のミッションと整合している必要があります。

すべてのサードパーティサイトについては、section@vesglobal.org のメールアドレスを使用する必要があります。Eventbrite、Canva、ソーシャルメディアなどを使用する場合、ログインが新しい理事会ごとにアクティブのままになるようにします。セクションアカウントを開始するために個人のメールアドレスを使用することはできません。

非営利団体として、ギフトカードは VES HQ が事前に承認し、50ドル未満でない限り賞品として許可されません。

会員が気に入る可能性のある割引のためであっても、スポンサーや他の団体に VES 会員情報を約束しないでください。団体に代わってスポンサー付きメッセージを送信することはできます。これがスポンサーシップ契約の一部であり、セクションが契約から資金を受け取っている場合です。

BoM/BoD 選挙中の特定の会員やグループ、またはアワードシーズン中のノミネート者を宣伝するために、VES の公式チャネル、メール、またはソーシャルメディアを使用しないでください。

All membership info is private and confidential. We adhere to GDPR rules. As a BoM, you have access to information necessary to conduct Section business that legally must not be used for anything other than the intended purpose. If we send you data, such as members' cities, for event planning, it must remain secure.

Do not sign any contracts before the HQ reviews them.

You cannot use Section money to reimburse travel/parking for Section board members unless they are carrying massive items for an event (cases of water, banners) and need to park close

You must have a receipt or invoice for any expenses. Do not "mix in" personal and business items when checking out at a store or using things like Amazon "Store credits" from your account towards a purchase. Itemized receipts are required.

You cannot reimburse a board member for out-of-pocket expenses till the receipts are in hand, and an expense report is created. Ideally, all purchases are made with crowded cards, NOT personal cards. Plan for your event expenses so digital cards can be created before purchases.

If wanting to use/give Section funds towards another entity. It needs to be reviewed by HQ and must align with the society's mission for consideration.

For all third-party sites, you must use your section@vesglobal.org email address. If you use Eventbrite, Canva, social media, etc., so that the login can remain active for each new board. You cannot use personal email addresses to start Section accounts.

As a non-profit, gift cards are NOT allowed as prizes unless approved by HQ in advance and under $50.

Do not promise VES member info to sponsors or other entities, even for a discount that the members may like. You can send out a sponsored message on behalf of the entity. If this is part of their sponsorship deal, and the Section is receiving funds from the agreement.

Do not use any VES official channels, emails, or social media to promote a specific member or group during the BoM/BoD elections or nominees during the Award Season.
