General checklist for submissions to Higher Degrees
FHD checklist
This checklist is used to indicate the purpose for which documents are submitted to Higher Degrees. Only the relevant sections need to be completed.
NB! All submissions must be approved by the Departmental Programme committee. Departments need to take accountability for their submissions. The bottom of the 2nd page needs to be signed to confirm that the submission has been subjected to quality assurance processes.
NB! Please note the change to the checklist-- Proof of HPCSA registration needs to be included in the HD submission

Protocol length
Kindly stick to the guidelines below:
MSc: 8 to 10 pages (excluding references and appendices)
PhD: 15 to 20 pages (excluding references and appendices)

This checklist is to assist supervisors/ students to ensure that protocols have the necessary rigor and that all the content required in a protocol is covered.
Ethics application/ BMREC
BMREC: Resubmission form (for resubmission of changes to the protocol requested by BMREC)
Please note: Minor changes requested by BMREC should be sent directly to Research-Ethics (bmrec@uwc.ac.za ). ONLY resubmissions (as indicated by BMREC) have to be sent to the faculty office (referred back). In the latter instance ONLY, please submit to Ms Samuels (mmgsamuels@uwc.ac.za)
ETHICS RENEWAL FORM: See progress reports section below and complete BMREC annual progress report.The original ethics approval letter should also be submitted as part of the documentation (3 months before the expiry date)-- tick ethics renewal
FINAL REPORT: See progress reports section below and complete BMREC annual progress report-- This needs to be submitted after the thesis has been passed so that the project can be closed (tick final report)

Applications for renewal should be submitted 3 months before the expiry date.
After SHD has awarded the degree, a FINAL report has to be submitted

Intention to submit and appointment of examiners
NB! Examiners should remain anonymous
For new examiners: submit a full CV (+ summary CV)
For previous examiners/ internal examiners: submit a summary CV only
Two examiners from the SAME institution can be appointed as long as they are from DIFFERENT departments.
Examiners should be in possession of the degree they are examining and should ideally have examined a thesis before. At the very least, examiners should have supervised in the relevant programme.

MSc STUDENT: 1 internal and 1 external examiner
MSc student who is a permanent STAFF member: 2 external examiners
PhD: 3 externals

After 1 week: Supervisor to check with Exams office on main campus if thesis has been received and submitted to examiners
After 6 weeks: Supervisor to check if examiners’ reports have been returned
Examiners reports
Once examiners reports are received by the UWC exams office, these are communicated to the Supervisor. Supervisors are not allowed to share examiner reports with the student concerned until the Senate Higher Degrees Committee has made its decision in respect of the final result.
Supervisor’s report
An overarching report needs to be submitted to Higher Degrees. This needs to include the following:
final mark calculation
for coursework programmes, a list of modules with weighting and final marks need to be included
A final recommendation needs to be made for consideration by the committee
Examiners reports and recommendations need to be included
Assessor/ Arbiter appointment
