FAQ

General/Elective Hours Submission Process/Mix & Match Community Engagement Elective Option FAQ

1. What options do I have for completing my 12-hour pre-clerkship elective requirement?  Do I have to complete all 12 hours from one portfolio?

You need to attend 12 elective hours from the Community Engagement category to get credit for the CE elective. This can be accomplished in 1 of 2 ways.

Both result in successful completion of the CE elective. Sometimes portfolios join forces to do joint events in which hours from those events are eligible for more than one CE portfolio, or the Mix & Match option. Elective officers will let you know if this is the case.

*One exception: You must complete 12 hours of the GHEA elective to be eligible to go on an international clinical elective. Please see the GHEA page and FAQ on this website for more information.

See the Pre-clerkship Electives Catalogue for more information.

2. How do I make sure I get credit for completing a Community Engagement elective? How does the Assess.Med hours submission process work?

Please follow faculty guidance on this topic. For any questions about this process please email the electives coordinator Norma Maloney at electives@ualberta.ca.

Students in years 1 and 2 of medicine must complete a 12-hour pre-clerkship elective. To ensure you get credit for participating in the events of the elective you choose to attend, please submit the Assess.Med form to register your interest at the beginning of the year.

Assess.Med Instructions:

Choosing “Save for Later” will send the form to your elective preceptor’s inbox (in our case, Dr. Smith), where it will be accepted at the end of the year once you have fulfilled the 12 hours of your elective.

3. Do I need to submit the form on Assess.Med for every elective event I attend?

No. Please only fill it out once at the beginning of the year with 12 hours in the “total hours” line. This is the only time you will need to submit this form all year. Your preceptor will accept the form (and thus accept your completion of the 12-hour elective) at the end of the year once elective events have concluded.

4. What if I change my mind and I want to complete a different elective than the one I originally chose?

This is no big deal - just submit another form (using the same exact method) on Assess.Med stating the elective you have decided to complete this year.

As a courtesy you may contact the coordinators of the elective you originally submitted interest for so they can disregard your evaluation submission. Preceptors have access to attendance lists from all elective events; if you have submitted a form on Assess.Med but don’t end up completing the elective your original form submission simply won’t be accepted.

5. What if I decide to do the Community Engagement Mix & Match elective instead of a full 12 hours from one portfolio?

See answer to #4 above.

6. What happens if I don’t complete 12 hours of an elective but I submitted the form at the beginning of the year?

See answer to #4 above.
