To support your university and scholarship applications, our career counseling office provides official school documentation, including transcripts, predicted grades, and letters of recommendation. Please follow the procedure below to ensure your documents are prepared before your application deadlines.
Students can request their school transcript through CIALFO. Please allow for 7 business days to process this request.
Types of Transcript:
Initial Transcript: Grade 10 Semester 1 - Grade 11 Semester 2 transcript
Mid Year Transcript: Grade 10 Semester 1 - Grade 12 Semester 1 transcript
Final Transcript*: Grade 10 Semester 1 - Grade 12 Semester 2 transcript
*Note: The Final Transcript requested via CIALFO is your Official School Transcript. However, as an IBDP student, please be aware that most universities require your Final IB Transcript to be sent directly from the IBO. Please follow the procedure below to ensure your IB results are officially submitted.
Search for your target universities.
Click 'Add to List' and put it into the Applying list.
Go to "Applications" tab and click "Transcripts" on the right corner.
Click add and choose "University Application" if it's for university application and "Scholarship" if it's for scholarship.
Select the universities requiring transcript submission. You can select more than 1 universtiy.
Please provide the due date and select the type of document you need.
Many universities require IB Transcripts to be sent directly from the IBO to their institution. Schools receive the physical copy of the IB Transcript 3 months after IB results are released (around September). We will not receive any electronic transcripts and are not able to send them to universities. All requests must go through the form.
Students can request this through their school by completing the required form before April of their exam year.

Unlike transcripts, a Letter of Recommendation is a personalized document that requires significant time to draft. Please allow 7 to 14 business days for your recommender to complete their letter. Once a teacher completes your Letter of Recommendation, additional time is required for the Career Counsellor to review, format, and officially stamp the document. To ensure you meet your university deadlines, please plan your requests at least one month in advance.
The procedure for requesting Letter of Recommendation depends on your application platform. Regardless of the platform, the first step is always to approach your teacher or career counsellor in person to ask for their consent before sending a digital request.
Speak with your teacher/ career counsellor personally to request their recommendation.
Submit the formal request through the Bookmarks Tab in CIALFO and click 'Recommender' in the right corner.
Inform the recommender once the digital request has been sent so they can track it in their dashboard.
Send a polite reminder one week before your application deadline.

Register your recommender’s school email in the "Recommender" or "Invite" section of your admission portal.
Notify your recommender and career counsellor that they should expect an automated email from the university’s portal.

Inform your School Career Counsellor that you are working with an external consultant. This is vital for document security and coordination.
Follow the standard procedure for university applications outside of cialfo.
Ensure that all document requests from your consultant are coordinated through the school’s Career Counselling office to ensure authenticity.
Students can request predicted grades twice. The first predicted grades will be ready after Grade 11 semester 1, and the second after Grade 12 semester 1. Please allow for 10 business days to process this request.

You will be notified of your results via school email or Google Chat.

Since the official High School Diploma (Ijazah SMA) is only issued following graduation in June, many universities require a Letter of Expected Graduation to process your application. This document serves as official verification from the school that you are on track to complete your studies by the end of the current academic year. Please allow for 7 business days to process this request.
Complete the Letter of Expected Graduation Request form.
The document will be sent either through google chat or email.
Please ensure that all personal information, including your full name, current grade, home address, and date of birth are correct.
Note: This letter is valid for all universities. You only need to request it once and can upload the same digital copy to multiple platforms.
Your Motivation Letter, Personal Statement, or scholarship essay is a vital component of your application, offering universities a glimpse into your personality, goals, and unique perspective. To ensure your essays are well-structured, the Career Counsellor provides a review and feedback service. Please submit your draft for review at least 14 business days before your application deadline to allow sufficient time for revisions and follow-up discussions.
Approach your career counsellor to review your motivation letter/ personal statement.
Send an email containing your document and make sure you give the career counsellor edit access.
While most universities now accept digital uploads, some institutions still require physical copies of your documents to be sent directly to their admissions office. If your target university requires hard copies, please communicate with the Career Counsellor to ensure all documents are properly authenticated before you send it. Please allow for 7-14 business days to process this request.
Please don't hesitate to book a meeting with career counsellor or come directly to the career counselling office if there is other type of documents that you need from school.
