Faculty Guide: Scheduling and Documentation Process at IE
Master’s & Undergraduate Programs
Master’s & Undergraduate Programs
Welcome to the Asset Management and Planning Department Web at IE University! Here, as a faculty member, you will find everything you need to organize and deliver your class sessions successfully.
The availability request process will take place twice during the academic year, approximately 6 months before the start of the corresponding term. You (as a teaching professor) will be notified when the submission period opens so that you can enter your availability for teaching during the following academic period in the Faculty Hub.
First, you will submit your availability in the Faculty Hub. Then, you will be able to accept or decline, in the Faculty Hub, the courses assigned to you by your Area Director ("Allocated Academic Duties") in accordance to the availability that you have submitted. Once the planning process is completed, your classes will automatically appear in your Teams calendar for your visualization.
You will be required to enter your teaching availability for the upcoming term directly in the Faculty Tasks Pin (go to "Planning" → go to "My Academic Availability"). Kindly ensure that you review the Availability Criteria before submitting your information.
⚠️ Please note that there is a deadline to submit your availability.
Once you have submitted your availability, you will be able to accept ✅ or decline 🚫the courses assigned by your Area Director in the Faculty Tasks Pin (go to "Planning" → go to "My Allocated Academic Duties"). If you don’t provide enough availability, you will only be able to reject your courses. You need to provide enough availability in order to be able to accept the proposed course allocations.
When you accept the proposed Course Allocations, you will be required to complete a form with your scheduling requirements.
When you decline a compatible assignment, you will be asked to provide a reason.
Your Teaching Calendar is the Microsoft Teams calendar you already use in the Calendar pin on the left vertical edge. Once your classes are scheduled, they will automatically appear as events in your Teams calendar for your visualization. Your access to the schedule and visualization of the calendar will get registered for our information.
⚠️Please note: if you delete a teaching session from your Teams calendar, this will not modify the official (course) planning. The session will remain scheduled in the system. You will need to fill in a form for requesting a change of class.
There is a Tasks module (inside the Faculty tasks Pin) that gives you a centralized view of the different tasks you need to complete across IE systems. --> ☑️i.e, Sumitting your Availability for teaching, accepting /rejecting your Couse Assignments, visualizing your Course Schedule, sumitting your Syllabus.
Complete the syllabus by including the relevant academic details and any necessary instructions, as applicable, for the planning of each session.
Any Syllabus pending submission will appear as a pending task for professors under the Tasks section within the Faculty Tasks pin. In this section, professors can see which syllabus items still need to be submitted, along with their status— Pending or Completed —as well as any other assigned tasks.
