Student Tracking
The Main Zoom room is moderated - thanks Sara!
Students will enter the waiting room for the Zoom Help room and sign in. When the form is completed, the moderator admits the student to the main room, triages their problem, and assigns the student to a zoom breakout room with an advisor.
This tracking sheet will be used to note the name of the advisor who worked with the student, and for the advisor to enter the status/notes for students that they assisted. Examples below:
fully registered - situation resolved
partially registered - plan in place to resolve
Under Notes - briefly explain - need placement updated to register for Math (for example)
Registrar Request Form: Use this spreadsheet to request help from the Registrar’s Office (e.g., SOATEST updates for missing placements, pre-req overrides, etc.)
If the student needs significant support (not complicated but time consuming) - we have staff and Orientation leaders that can work with a student - so you can do a gentle hand off
Tips and Guidance specific to majors in each College/School - click the college below
Changing Major: Direct students to the Change of Major form (New Hawks Portal → To‑Do List). Banner updates the major in real time; students can refresh or click Process in Degree Works to see their new major reflected. The form closes July 23 at 5 PM. Students should register based on the new major’s course recommendations, and any restrictions should align with the new major.

How do I confirm that I am registered for a course?
In the Registration Summary panel (lower right), look for the green “Registered” message.
Students can also check their schedule in the Nest: Students Tab > and then Student Profile ( schedule appears in the lower right).
Note: Waitlists are off for first-year registration and will turn back on during Add/Drop'
I need to register for an additional recommended course, but I got an error for maximum credits exceeded.
Students may register for up to five, 3 credit+ courses.
Because of 4-credit and 1-credit classes, some schedules exceed the 17- credit limit.
Certain majors (e.g., CAS Natural Sciences, School of Health Professions, and Pharmacy) already have a higher credit limit (up to 20 credits) to account for labs.
If a student needs to register for a fifth course and receives a credit limit error, submit the Registrar Request Form to increase their credit limit.
Please include the total number of credits needed for the student to complete their schedule.
Technology Service Center Help Desk
Direct students to call the IT Help Desk at 610‑660‑2920 for technical issues with Zoom or Self‑Service that cannot resolved in the help room.
Closed Course: In most instances students will need to consider an alternate course. They can enter another CRN, or you can click on “Find Classes” to research other options. Waitlists are not functional.
Major Restriction: Course is restricted to students in a particular major.
Campus Restriction: Students cannot register for Lancaster courses or (in most instances) online courses.
Cohort Restriction: All first year students are members of the Fall 2025 First Time Frosh Chort. If a student is getting this error, submit a Registrar request to have the cohort added to their record.
Level Restriction: First Year students cannot register for graduate courses (GR or, Adult Learner accelerated 7-week online courses sections.
Prerequisite restriction: If the student expects to enter with AP, IB, or transfer credit, you can request an override using the Registrar Request google Doc.
Corequisite restriction: A student must register for lecture and lab and the same time.
Time conflict: Meeting times cannot overlap.
Undefined-Contact Help Desk: Instruct the student to Log out of their registration area and the Nest. When they re-enter, the error should resolve itself.
Language Requirement - The CCC NNL requirement supports SJU students in:
Only one semester of a Non-Native Language is required.
Language placement:
To begin, all first year students and transfers complete the SJU language survey/test.
Placements are based on high school transcripts, survey responses, placement test results, and home language exposure (where applicable).
To fulfill the CCC Non-Native Language (NNL) requirement, a student must complete one course at the level where they were placed (e.g., ITA 201, SPA 102, FRE 202, etc.). Otherwise, counts as elective credits.
Find Language Placements in DegreeWorks. Students must register for the language and level in which they are placed.
101 and 102 level language courses are 4 credits, which includes a language lab. Students will want to make sure both the lecture and lab times fit their schedule.

Concerned that is Placement Too High
If a student is concerned that their placement is too high, recommend that they register for the level at which they were placed. During the first week of class, faculty will continue to assess their background and skills in the language. If a change is warranted, the student may add/drop courses during the first week of school. All level changes are managed through Dr. Elaine Shenk (eshenk@sju.edu).
Change to a New Language
If a student wants to change their language to a language never studied previously, use the Registrar Request Form to request the language placement update. They will update the language placement to the new language so that the student can register.
Change to a Language Previously Studied
If the student wants to change to a language previously studied in high school, ask them to complete the language request form. The Department will send them a new Qualtrics link to take a placement test.
They cannot register until the Department of Languages & Linguistics evaluates their placement test. The department will check a student’s transcript and review new placement results.
The course may fill in the meantime, so students should register for a back-up.
American Sign Language
Note that ASL is restricted to students in the following majors:
Autism Behavioral Studies
Communication Sciences & Disorders
Elementary Educ 4th - 8th Gr
Elementary Educ Pre K -4th Gr
Exercise Physiology
Health Science
Psychology
Special Education (PK to 8)
A student will need to change their language if not in one of these majors. Even if they are in one of these majors, there is no guarantee that they will get into the class due to limited availability of seats.
Dual Enrollment Credit for Non-Native Language Courses
IMPORTANT: Not all Dual Enrollment credits will meet CCC NNL requirement:
Transfer evaluation will determine if Dual Enrollment credit satisfies the CCC NNL requirement
Dual Enrollment credits may count for Global Citizenship (CGLC) if the first language course qualifies for CCC NNL requirement
Dual Enrollment (DE) courses must be submitted to the university using the Transfer Credit Request form (link is available through the New Hawk's Portal) for evaluation and an official transcript from the college or university granting the credit.
Dual Enrollment courses transfer as:
3-credit 101 course transfers as XXX196: Does not count for CCC NNL; can fulfill the GLC overlay if another language course meets CNNL
3-credit 102 course transfers as XXX197: Does not count for CCC NNL, can fulfill the GLC if another language course meets CNNL
4-credit 101 transfers as XXX101: (if student’s placement is higher, student must take the course where they were placed and this one will count as CGLC, and for grad)
4-credit 102 transfers as XXX102: (if student’s placement is higher, student must take the course where they were placed and this one will count as CGLC, and for grad)
Language Exemption
Students who are bilingual are exempt from the language requirement. If a student reports that they are bilingual, ask them to submit a language request form to the Department of Languages and Linguistics to review. The department may ask the student to submit additional information about their language abilities.
Language Waiver
If a student has a Non-Native Language Waiver, they instead will take an additional CCC Mission Overlay in the Global Citizenship area to replace those credits. (This is in addition to, not in replacement of, the Mission Overlay wherein students choose 1 course from Faith & Reason, Global Citizenship, or Ethics & Social Justice. This replacement course cannot double count for any other CCC requirement.)
1 CCC Mathematics course is required per placement and major requirement.

Indicates the highest level math a student can take.
Possible math placements you will see on a students record include:
Statistics: MAT 118, 128, and 148 (new course, not offered Fall 2025) (For Students whose major requires a version of Stat for CCC Math)
MAT 120 Precalculus
MAT 123 Differential Calculus (preferred for HSB majors)
MAT 145 Precalculus: Intro to Calculus for Pharmacy Majors
MAT 155 Fundamentals of Calculus
MAT 161 Calculus I
MAT 162 Calculus II
MAT 118 or 120 or 123 or 128 or 130:139 or 148 (For Students who did not place into calculus, and their major does not require statistics or calculus)
Students can earn CCC Math credit through Advanced Placement, International Baccalaureate, and Dual Enrollment
It is imperative that students check their major requirements via DegreeWorks and/or the Academic Catalog - linked at the bottom of Major Registration Worksheets to confirm if their major requires a specific math course(s).
If the student’s major does not require a specific math, then they can register for any CCC Mathematics course.
Some majors have specific math courses in their major requirements, so students cannot necessarily register for lower than their placement. It depends on the major.
If a student wants to register for a higher level math than their placement allows, have the student contact Dr. Lia Vas (lvas@sju.edu) Chair of the Math Department. Dr. Vas will review the student’s placement test and high school record to determine if a higher level math placement is warranted.
Information for students with dual enrollment, AP, and/or IB credit
Transferring Credit to SJU
Advanced Placement
AP Equivalency Chart - confirms how AP credit applies towards SJU courses.
AP score reports should be available by July 6th. Registrar will post credits as quickly as possible.
If AP credits are not posted and the student is confident that they earned a 4 or 5 on the exam, request a pre-req override using the Registrar Request Form. (The first semester registration worksheets identify alternate courses if the student has exam or dual enrollment credit.)
Confirm that the student has sent an official score report to SJU.
Advising will run reports after AP credits are posted to ensure a student’s correct registration.
International Baccalaureate
IB Equivalency Chart - confirms how IB credit applies towards SJU courses.
SJU accepts High Level exams with a score of 5 or better (minimum score varies by exam).
If HL credit isn't posted and the student is confident about their score, submit a pre-req override
Confirm that the student has sent an official IB score report to SJU.
Advising will run reports after IB credits are posted to ensure a student’s correct registration.
High School dual enrollment credit
2-step process:
Submit a Transfer Credit Request Form (link found in the New Hawks Portal). Upload course description/syllabus.
Request an official transcript from the College/University be sent to SJU.
If the credit is not posted
Confirm the student completed the Transfer Credit Request Form and sent an official transcript to SJU (admit@sju.edu).
The student can submit a - Transfer Ticket to the Registrar's Office to check the status of the review.
Student also may use the Transfer Equivalency database to determine if there is a known SJU equivalent for the course they completed in high school.
Registration Help for Honors Program Students, NCAA Rostered Athletes, Air force ROTC, and Students considering the first Year Service-Learning Program
Honors Program
This Honors Registration Guide provides an overview of the Honors Program requirements and information about honors course options for the fall semester.
Honors program faculty will meet with students on Monday July 6th, 2026 at 12pm Eastern Time via Zoom to review for registration.
NCAA Athletes
The Fall 2026 Practice Schedule is built into each student’s schedule. If there is a sport-related problem (e.g., time conflict with practice), refer to Taylor Thomas (tweidens@sju.edu) or McHale Rouse (mperkins@sju.edu).
Air Force ROTC
Students must keep Tuesday/Thursday mornings open in their schedule until 10:30am. This presentation and these FAQs provide further guidance to AFROTC students.
Service Learning
Service Learning is an opportunity for students to engage in the Jesuit mission via community service integrated into their coursework. The First-Year Service Learning Program offers a curated selection of courses in a cohort experience.
Please note: the Fall 2026 Service Learning courses are a Fall-Spring sequence. Make sure that the student is not registered for the Spring course in the Fall semester. Students should also consider the time commitment (approx. 3 hrs/week).
