Identifying Transfer Students - Fall or Spring Entry terms
Run Cognos report by admit term for enrolled transfers; also email notifications from Admissions sent to Advising email alias. Advising Staff take ownership of TR students within the colleges they cover. Use a system to track your students through to registration - Google spreadsheet or filter the Cognos report for assigned college(s).
Tracking Transfer Students - by specific entry term
1) Credit Evaluation Review: find transfer student on Google Share Drive/Transfer Credit Evals. Transfer credit evaluations are created and managed by the Office of Admissions as part of the transfer application. Associate Deans and/or chairs review for course equivalency decisions. A credit evaluation is complete when all SJU course equivalencies are noted on the evaluation. Transfer students contact Admissions at transfer@sju.edu if they are questioning a course equivalency. Transfer students must submit final transcripts to Admissions for in progress courses once completed.
The Advising Center checks off a column on the credit evaluation to note which transfer credits are added to the academic record at SJU. A limit of 60 transfer credits may apply toward a degree. This includes use of any AP credits - must submit AP credits before the end of the academic year of initial enrollment. (see Academic Catalog for details on University transfer policies)
2) Welcome email to students: confirm major (sent after auto email notification of TR enrollment) Adjust based on the student’s situation or time frame of enrollment; i.e. if enrolling a week or the day before the start of semester - communications will be condensed; phone calls may be necessary.
3) Use curriculum worksheet & note transfer courses: on Google Share Drive - Curriculum Worksheets.
a) Move/Save a copy of the blank template to the Transfer Student folder
b) Enter courses with an SJU course equivalency from transfer evaluation. Note on curriculum sheet that the evaluation is In Progress if the course equivalencies are not complete.
4) Contact Department for course suggestions: sample Chair email. Include curriculum sheet and Department Response Google Form (link to Fall 2021 Master Google Form, if using). Department Admin Assistants assign advisors in Banner.
a) Curriculum Plan: click “Share” on the file, change to “Share with Saint Joseph’s University” and change access to “Editor”. Copy link to paste in email.
b) Department Response Google Form: open master form, select 3 dots in top right, select “get pre-filled link”, enter student ID, last name, first name and major - scroll to bottom and click “get link” to paste in email.
Registration of Transfer Students (April - Aug for Fall; Nov - Jan for Spring)
Email students to schedule registration meeting: sample appointment. Attach curriculum plan and mention math & language placement tests, if needed. (Direct to New Hawks To Do list items - a checklist activated and managed by the Office of Admissions - all questions to transfer@sju.edu).
Registration appointment with transfer student: (by Zoom or phone) - guide them through Students tab on the Nest to access Self Service Course registration. The student registers themselves for classes. We assist with prerequisite or closed course overrides as appropriate & approved by dept chair, and Registration PIN, if one is assigned.
Topics to highlight for transfers:
ID number and username (SJU email address);
Registration Tools page and video resources - view before registration appt;
Student Profile & faculty advisor and need for registration PINs in the future - provide PIN if there is one assigned;
Links/resources on Home Page of The Nest and Students Tab; Curriculum sheet & Degree Works tools to map progress.
Major Changes for Entering TR - they do not have access on New Hawks Portal to Major Confirmation. Advising Support must submit a Major Change ticket request to Registrar's Office with a PDF of the email from the transfer student requesting the change. Ask the student to inform Transfer Admissions team that they are changing to a new major.
