Once an IEP is processed and locked, then it will not be unlocked. If a change to an IEP is necessary, but the team does not feel it is necessary to re-write the entire IEP, then an IEP Amendment may be added to the current IEP record.
In order to add an IEP Amendment, case managers will follow this process:
Schedule the IEP Amendment meeting with the legal education decision maker and necessary members of the IEP Team
Send the Notice of Meeting to the legal education decision maker at least 10 days in advance
Add an IEP Amendment in WebKIDSS following these steps:
· Select Edit IEP Students from the main page
· Select the student’s name whose IEP is being amended
· On the Demographics page, select the IEP record which is being amended
· With that IEP record highlighted, click “Add New / Amendment IEP Record” button
· Click “Add Amendment IEP”
· Enter Initiation Date & Amendment Date; the Initiation Date is when the change is going to take place. The Amendment date is the date of the IEP Amendment meeting to change the existing IEP and the date the legal education decision maker signed consent for the changes (if necessary) on the PWN. If the IEP Team meets to propose a change that requires consent from the legal education decision maker and the legal education decision maker does not attend, then the Amendment Date will have to change to be the date the legal education decision maker signs the PWN. The Amendment Date and the date on the PWN must all match.
· The Annual IEP Date will not change. In the “IEP records” box on the Demographics page, the Annual IEP Date will be repeated with the status code & a lower case “a” next to it.
· Enter the date and the draft information into the appropriate sections of the IEP. For example in Academic Part 2 Reading Comprehension section, “4/1/13 – Student is not able to correctly answer any inferential comprehension questions on 3rd grade level text.” In the Special Education / Related Services section, “4/1/13- Student's special education services will increase to 60 minutes per day 5 days per week in a general education classroom and 60 minutes per day 4 days per week in a special education classroom.”
· Update the anticipated services chart if changes were made in services or placement
4. Print IEP2 & take to the Meeting
5. Obtain legal education decision maker signatures on all parts of IEP2
6. Conduct the meeting
7. Review the PWN printed from the IEP Amendment in WebKIDSS & obtain consent from the legal education decision maker if necessary
8. Enter final information into WebKIDSS Amended IEP & PWN that was added during the Amended IEP Meeting
9. Turn in the paperwork for processing to your Teacher Leader and MIS Data Clerk
10. Paperwork is processed by MIS Data Assistant ensuring a match between Special Education/Related Services text, Anticipated Services Chart, and PWN in the Amendment
11. If no errors, then paperwork is completed and locked.
