The purpose of this page is to provide instructions for submitting a written ballot to vote for the Directors, Annual Budget, and any other critical issues requiring a Membership vote.

Voting Eligibility...
Property owners who have joined the Tugaloo Bay Property Owner's Association (TBPOA) by paying the annual membership dues fee for the Fiscal Year beginning September 1 each calendar year may vote.
Only one (1) ballot is valid per dues-paid Membership household
Payment Dues Dates:
If mailing dues fees by USPS mail, the payments must be received no later than the Thursday prior to the second Sunday in September
If hand-delivering your dues payment, the dues fees must be received at the Annual Business Meeting on the second Sunday in September.
Proxy Authorization...
Every Member entitled to vote shall have the right to assign an agent or agents authorized by a written proxy executed by such Member or duly authorized agent and filed with the Secretary of the Association. No such proxy shall be valid after the expiration of eleven (11) months from the date of its execution. However, the person executing the proxy may specify a length of time for which this proxy is to continue in force which in no event shall exceed three (3) years from the date of its execution.

Reviewing the Annual Budget...
Because this Website is open to the public, the proposed FY 2021-2022 budget and year-end quarterly report are not available on this page. However, any property owner in the Tugaloo Bay subdivision may receive copies of those financial reports by sending a request to the secretary at migneault1@truvista.net. If you have provided your email address to the Association, you will receive the proposed budget via email along with the Annual Meeting & Dues Notices letter.
Submitting Your Ballot...
The following ballot process ensures your vote remains confidential. If you have further questions or would like more information, send an email to the TBPOA secretary at migneault1@truvista.net.
The voting will be closed as of the date of the Annual Meeting, which is the second Sunday in September.
You may submit your vote in one of the two methods:
By Mail: Your ballot and dues payment (if not paid previously) must be received at the TBPOA post office box no later than the Thursday prior to September 1. If mailing your ballot, follow the steps in the diagram below. You will need 3 envelopes and a stamp to mail your ballot.
Hand-delivered: Your ballot and dues payment must be received prior to the adjournment of the Annual Business Meeting held on the second Sunday in September. You may print the ballot from home or pick up a ballot at the Annual Business Meeting. Envelopes will also be available at the meeting.
Counting the Ballots
The Election Committee will meet within 10 business days after the Annual Business Meeting to complete the voting tabulation. The committee will:
Open the Mailing envelope. If you have included a dues payment, it will be noted and your payment will be given to the Treasurer and you will now be eligible to vote.
Verify your eligibility to vote based upon the information written on the Qualifying Envelope.
The Ballot Envelopes will be removed from all Qualifying Envelopes and set aside from the Ballot Envelope.
After all of the Ballot Envelopes are removed from any identifying information, the Election Committee will open the Ballot Envelopes and tabulate the votes. This process ensures your vote remains confidential.
An email with the results of the vote will be sent to owners who have provided TBPOA with their email address. If you have not provided an email address, you may send your email address to the Secretary at migneault1@truvist.net.
