How do I send my data folder to you?
Make sure SDScribe™ is not running
Go here (C:\Hazard_Solutions ) and find your current Database folder. Zip it.
Drag Database.zip to the Dropbox folder that you were emailed

2. How do I receive a data folder from you and place it back to where it belongs?
Make sure SDScribe™ is not running
Download Database.zip to your desktop and extract it. Your should have a folder titled: Database
Go here (C:\Hazard_Solutions ) and find your current Database folder. Rename it to Database old and move it to your desktop
Drag the Database folder inside of C:\Hazard_Solutions
3. Can I place the program on a server?
1. Ensure that you are connected to the remote server where the SDScribe™ data will be located. Ensure that SDScribe™ is not currently running on your computer.
2. Create a folder for the SDScribe™ data on the remote server (e.g., "SDScribe_data"). You can name this folder something else if you wish, but make sure the permissions on the folder are fully read-write for all potential users.
3. If you haven't already done so, map the remote server to a letter drive on your local workstation, in the "Computer" window (On Windows 7, the procedure is: Windows Start menu -> Computer -> Tools menu -> Map network drive).
For example, you might call the remote drive "E:\" or "F:\" in the "Computer" window.

4. Navigate to this location on your local workstation, "C:\Hazard_Solutions\Database"
5. Copy these two local files to the new folder on the remote server

6. Create a "hide" or "not_used" folder on the local workstation, and move the originals of the same two files (previous step) to that folder. You now have copies in case something doesn't work.
7. Delete the following file from the "C:\Hazard_Solutions\Database" folder: SDScribe.Match
8. Start SDScribe[tm] as you normally would (e.g., from the desktop shortcut).
9. The program will present a dialog indicating that "No data file was found for the database...". Click on the "Open" button and navigate to the new (remote) folder, to select "SDScribe.4DD".
10. The program will open as normal, but your data will be on the remote server.
11. Try quitting SDScribe™ and then re-opening it. It should open without any further prompting. If it displays the "No data file was found for the database..." dialog again, check to ensure that your remote server is still active, and that it is mapped correctly as a letter drive in the "Computer" window.
The SDScribe.4DD file contains the starter data, as well as the information that you have entered into the program. You should always keep an updated backup copy of this file at another location. For example, the remote server may automatically make backups of your folder. Or you may want to keep an up-to-date copy of the file on your own computer workstation.
4. How do I transfer the data file to my laptop?
Note: unless you purchase additional licenses, you are only authorized to license one copy of the software. Ensure you have installed SDScribe™ and activated the license on your computer.

Move a copy of the following three files located in C:\Hazard_Solutions\SDScribe\Database to the new location, replacing the existing files:
1. SDScribe.4DD
2. SDScribe.4DIndy
3. SDScribe.Match
You may need to reenter the license key at the new computer.
5. How do I open a different data file (e.g., if I move it to a server or my laptop)?
Open the program and select under File /Change data file
Browse to the database folder and open SDScribe.4DD
6. We have purchased two licenses and are interested in sharing the same data file. How do we do it?
Sharing a Data file Procedures
If you purchased additional licenses (e.g., a second computer), you may be able to share a data file. An advantage of sharing a data file is that all users will have the same data. For example, if a person adds new records or makes changes to records, everyone will see the same data. This could save time, especially if users are working with the same types of records, such as the same safety data sheets and labels. However since this is single user software, only one user at a time will be able to access the data file. If another user attempts to open the data file they will not be able until the other person closes it (i.e., closes the program).
Data file Contents and Location
Your data consists of three files on disk:
1. SDScribe.4DD
2. SDScribe.4DIndy
3. SDScribe.Match
Assuming a default installation of SDScribe™ on your workstation, these files should be located inside "C:\Hazard_Solutions\SDScribe\Database" or possibly "C:\Hazard_Solutions\ Hazard_Solutions\SDScribe\Database"
If you decide to move the data files to a server, you should place these three files in the same place on the server, preferably together in a folder.
To Find and Open a Datafile from a Server:
File > Change data file
Browse to the location of the datafile and select it. You will be looking for "SDScribe.4DD".
7. I did an upgrade and cannot seem to find my data anymore.
If you do not automatically see your SDSs or Substance records after a software update, you might need to find the data file . It is typically in one of two locations. Click on File / Change data file and go to:
C:\Hazard_Solutions\Database and click on SDScribe.4DD ; or
C:\Hazard Solutions\SDScribe\Database and click on SDScribe.4DD.
8. I have installed SDScribe. Where are the actual database files found?

9. I have safety data sheets in word format and as pdfs. Can I important these in to SDScribe™?
No. SDScribe™ is a database and holds all the data in datafiles as described above. So you will need to enter the data into the product manually.
