SAP SOP Creation of SOP Events

Events in Flexible Planning 

Major events, national occasions, planned promotions, and festivals, seasons, can affect the sales quantities (increase or decrease) and understanding them in advance will help you to plan the same. You can spike or decrease your sales quantities using a functionality called events. 

The events are applied to the sales key figures in all possible cases, or any other key figures which gives you the sales quantities or sales values. SAP gives you the option to assign events across all the characteristics levels or for a specific characteristics level for which the event should be applied. 

The events are assigned to the planning types and thus come in play in the planning table.  

Note – Creation of events is not a mandatory step, you can prefer not to have events at all in your planning situation.

Creating Events in SOP

You can create such special events in SAP SOP through the use of transaction code MC64. Events can be maintained as cumulative events or proportional events. When you create an event, the system would ask for the following details as shown in the screen shot below. The options on the screen are pretty self explanatory.

When events are used as cumulative events, you are enter the actually entering the actual value for a period which will add to the plan quantities or subtract from the plan quantities in a given period.

When events are used as proportional events, you are actually entering the percentage hike or percentage decrement that should be installed in the plan. See the figure below.

Assigning Event Relevant Key Figures in the planning type 

As discussed in this section, the planning type is frame designed for the planning figures to be planned. Therefore it is sensible enough for us to link the events in the planning type itself, so that when the planning type is used to plan in a planning table (using the key figures) the events comes into play automatically. 

In this step you would have to use a key figure from the existing set of key figures to represent “events” in the planning type. Normally such figure is an unused or unwanted key figure from the list. If you proactively know that you are going to use events in planning, it is wise to have one or two key figure which is unwanted and not related to any planning activities and they could be exclusively used for such purposes. 

In the planning type, keep your cursor on a key figure (location where SAP would the event related key figures – preferably below the Actual Sales or Sales Quantities) and then press the “+Event” button, this action will show you a list of unused key figures, you would then choose any such unused key figure and press enter, so that SAP draws in 4 other new event related key figures in its place. In short SAP requires a key figure which can be overwritten with the 4 new key figures required for planning events.

If you already have added all the key figure in the planning type, you may need to remove the key figure that is going to be used for adding the event (delete it), so that when you press “+Event”, the key figure would be shown as available for addition of the “Event based key figures) 

Out of the 4 key figures that would be added to the planning type, the actual event values (Spiked or decreased sales values for a given period) will be written in the key figure called – “Cumulative Event – Sales” or “Proportional Event – Sales” depending upon whether the event is cumulative or proportional. The corrected sales will be written in the key figure which says – “Corrected -> Sales”.

Assigning the Event to the planning type

The created events are assigned to the planning types in the create/change event transaction code (MC64/MC65). 

Assigning the event to the planning type, allows you to automatically bring in to play these events in the planning tables, i.e. If you have a period in the planning table (which is used through a planning type which contains an event) with sales quantity as 100 units and if the event for the particular period is +10 units, the corrected sales quantity for that period in the planning table would be 110 units. 

While in the create event transaction or change event transaction code, you go to the path – Goto >>> Create Assignments so as to create an assignment to a planning type. The following points/steps should be set: 

a) A pop-up will ask you the information structure number – enter the information structure here. Once you enter the information structure, the system will open an assignment screen 

b) The assignment screen, allows you to select the organizational characteristics level for which the event should be applied; if you want to apply the event across all the organizational levels (as in consistent planning) you should leave it blank. 

c) In the assignment screen, you should also enter the version that it should work with and the key figures for which it will work for. The key figure is the key figure for which you want to add or deplete the quantities or values through the use of Events. 

d) Similarly in the assignment screen, you should enter the “Assignment Date” (that you see at the bottom of the screen) which is the ‘event start date’ or the date from which the event should be activated for use. Next to the assignment date you would find the event activation indicator for the given date, switching this indicator on, would make the event assignment active. 

e) Once you are done with the settings in the assignment screen, it is recommended to press the “Flag Assignment” Button and then press save at the top of the screen. 

f) After saving the event, you should enter back in the “change event transaction code” and go to the list of assignment that would show you the overview of all the assignments and the organizational levels or characteristics combinations to which the events are attached to. You can do this by going to the path – Goto >>> List of Assignments in the “change event header screen”. 

Here you can delete the selected assignments or deactivate the selected assignments from a set of available assignments for characteristics combinations for which the event is applicable. 

g) It should be noted that if you have a list of characteristics combinations to which the event is applied or activated for, then in the planning table, the system would disaggregate the events values according to the planning hierarchy disaggregation. i.e., if you have an event in a given period for a quantity of 100 Units and if the characteristics combinations is left empty during the creation of the event assignment, this would result in having the event being assigned to all the characteristics combinations of the planning hierarchy, thereby disaggregating the event in the planning table as per the disaggregation percentage. 

Sales org 0001 + Division 10 + Material M1 (in 40 %) = 40 Units

Sales org 0001 + Division 10 + Material M2 (in 60 %) = 60 Units 

Though if the event is directly applied to a characteristics combination during the event assignment, then the event would only be applicable for that given characteristics combination.

Very Important Note

The event would not be visible in the planning table, unless go and change some of the sales order quantities and save the planning table. Then the next time you enter the planning table, you should be able to see the planning table values populated in the event-based-key figures.
