SAP SOP Create Update Rules for Information Struture

This step is to be executed right after the creating and activating the information structure. Using IMG transaction code MC24, you can create the update rules for the characteristics and key figures of the information structure. 

Update rules help the system to understand the following: 

a) The characteristics and Key Figure the data is to be updated in the information structure and 

b) The SAP tables from which the data is to be pulled into the information structure, for the given key-figures and characteristics. It also includes the information of which dates to be used for the records or data that is populated in the structures. 

The update group plays a vital role; it defines the business areas and its tables that you would be using for updating the information structure. Usually, in flexible planning the “sales and distribution” application area is used. There are multiple update groups available for the sales application area, like – sales, sales returns, sales promotions etc. It should be noted that you can maintain multiple update rules for a given key figure, by copying an existing rule.

 SAP offers application areas such as sales, purchase, production, plant maintenance. 

You should only include the key figures for which you are updating the information structure from SAP tables of the application area. In our example, for information structure S893, we would be only updating the field – Sales quantities or order quantity from the SAP tables, where as other key figures like the production quantities, target quantity, day’s supply, capacity, etc, would not be updated from the SAP tables, they would be arrived-at in the planning table through macros. Therefore we would have to delete all other key figures and only keep the key figure which would be used for updation in the information structure. The characteristics for the key figure (sales order quantity) should be configured for the correct SAP tables and field. 

Note – It would not be wrong in saying that you cannot use the sales application update groups to update the tables of production. If you want to bring in or update the production information in the information structure, you can alternatively start with the production application group and subsequently use the production based update groups. 

Apart from SAP tables, you can also include standard SAP formulas or requirement routines that would effectively bring in the data as your requirements. Such SAP programs – Requirements, would enable you to further define/enhance your updation logics for the key figure. You can define the Requirements in the transaction code MC1B.

See the below screen shot or figure, for updation of the key figure – sales quantity. We would be designing the updation of the sales order quantity a sales order along with the purchase order date (as found in the sales order header section). Since the information structure is configured with a “monthly bucket” in the planning parameters settings, it will be updated with the month and year of the purchase order date as found in the sales order header. You can double click on the key figure to enter its updation details.

Activating the Updation Rules: 

Before the activation is done, one should check the consistency of the set update rules by pressing the “Generate” button to check for any errors or warnings that the system has issued and eradicate them. An information structure with errors will not be generated. 

Once you are ready with the update rules, you need to configure the parameters for the updation of the information structure. It should be noted that the period split included here should match with the period for planning in the step 2 – set planning parameters for the information structure. 

You could alternatively use transaction code OMOZ or OM01 for configuring the activation parameters of an information structure.
