COMMITTEES
oversee the comprehensive planning, coordination, and execution of all conference-related activities, encompassing program development, logistical arrangements, marketing and promotion, sponsorship and financial management, attendee services, on-site operations, and post-conference evaluation. This shall consist of the following members:
Oversees all logistical aspects of the conference, ensuring venues are well-prepared and equipped to accommodate attendees. They liaise closely with service providers to procure necessary materials and services, guaranteeing smooth operations throughout the event. The committee also manages transportation logistics, ensuring efficient arrivals and departures for participants and guests, thereby enhancing the overall conference experience.
Develops and organizes the conference's scientific content, curating a diverse and intellectually stimulating agenda. The committee invite prominent keynote, plenary, Young Minds Speakers (YMS) and session chairs to ensure a balanced representation of innovative research and emerging trends. The committee also evaluates abstract submissions and proposals to maintain high academic standards, fostering in-depth discussions and knowledge exchange among participants.
Implements strategic initiatives to attract and retain members. They organize engaging networking events, membership drives, and orientation sessions to foster connections and maximize participation. By providing comprehensive information about membership benefits and services, they aim to enhance attendee engagement and satisfaction throughout the conference.
Ensures comprehensive documentation (photo, video and written forms) of all conference proceedings, sessions, and business meetings. They prepare the evaluation tool and gather responses from all participants. They summarize and analyze the responses and feedback (comments, suggestions or recommendations). A written report is prepared and presented to the board for review.
Oversees the creation and distribution of the conference souvenir program. Beyond scheduling and speaker bios, they design the program to reflect the conference theme and highlight sponsors and supporters.
Facilitates meaningful interactions between exhibitors and conference participants. They strategically plan and manage the commercial exhibition area, coordinating setup, logistics, and support services for exhibitors. By curating a diverse range of exhibitors and fostering a conducive environment for networking and business interactions, they contribute to the overall vibrancy and value of the conference experience.
Orchestrates engaging social events and efficient attendee experiences. They plan and execute welcome receptions and cultural performances to foster networking and camaraderie among participants. Additionally, they oversee ushers who assist with navigation, seating arrangements, and general inquiries, ensuring all attendees feel welcomed and well-supported throughout the conference.
Ensures the physical infrastructure and technical setup of the conference meet the highest standards. They collaborate closely with venue management to arrange seating, staging, lighting, and audiovisual equipment. Their technical expertise ensures smooth presentations and sessions, addressing any technical issues promptly to maintain the flow of the conference program.
Oversees the presentation and adjudication of research posters. They review, select submissions, and approve applications for travel grants on the basis of these submissions, ensuring these outputs align with the conference's scientific focus and standards. By organizing engaging poster sessions, they provide researchers with opportunities to showcase their work, exchange ideas, and receive valuable feedback from peers and experts attending the conference.
Plays a pivotal role in creating and disseminating promotional materials and publications for the conference. They collaborate with designers and printers to produce visually appealing and informative materials, including brochures, flyers, and digital content. Their efforts ensure effective promotion of the conference and facilitate access to essential information for attendees, sponsors, and stakeholders.
Coordinates catering services to meet dietary preferences and ensure quality refreshments throughout the conference. They plan menus, taking into account dietary preferences and cultural considerations to cater to diverse participant needs.
Leads fundraising efforts and financial management for the conference. They develop strategic initiatives to secure sponsorships, grants, and donations, ensuring adequate resources to support conference activities and initiatives. By maintaining transparent budgeting and financial oversight, they uphold accountability and sustainability in conference operations.
Manages the invitation process for PSCB members, interested parties and special guests. They draft invitation materials e.g. letters and deliver formal invitations, follow up communications or messages, send reminders and track responses.
Provides essential administrative support and manages attendee registration processes. They operate the registration desk, ensuring efficient check-ins, distribution of conference materials, and handling of inquiries.
Coordinates the conference's photo contest. They establish guidelines, promote participation among attendees, and oversee the judging process. Winning photos are integrated into conference publications and presentations, showcasing memorable moments captured during the event and enhancing engagement among participants.
