There are a variety of technologies that we have tried:
The coordinator can, in any given year, try to find out what kind of technology people want to use to communicate with.

If you change the technology, you can lose authors. EG when we went away from postal mail, we might have lost a few authors.
1) the Google Drive Letter Package Solution
2) Emailing your letter to our one Google Group email address (it goes to everyone)
3) Making a big PDF to contain all the letters
4) Email - Everyone emails the coordinator their letters; and, the coordinator emails them back to everyone.

Other technologies may be used for communications but not necessarily the letter package directly:
This, Our Public Website (this website) - a Google website. A letter coordinator may have a document that he may need to show the group on multiple occasions; so, he can make a reference webpage on this website. Also, there is a message widget(s) and calendar(s) on this website. And, of course, the contact page which allows others to contact us. The website is a good tool for communication and documentation.
Our Google Calendar - this can be used to announce future events and also keep a record of previous events. This way a coordinator can get an idea of what another coordinator did in a previous year.
Google Forms have been used to survey the group. The contact page of this website actually uses a Google Form under-the-hood.
Google Group - communications to group, eg announcing the letter package, are done by emailing our one Google Group email address. Folks don't have to worry if the coordinator has their correct email address on his mailing list - they just have to make sure their email is updated on our Google Group Site. Even if they miss an email, it is stored on the web for them at our Google Group Site. Another interesting thing you can do, because emails are saved on our Google Group Site, is provide a link in your email to another email that you or someone else in the group sent the group.
Discussion Forum - Actually our Google Group Site acts as a forum too. For instance if someone emails the group with the subject "Our Next Reunion" and many reply to that email - keeping the same email subject, it will show up as a nice forum thread on our Google Group Site.
