What is our dress code?

How can I record attendance?
For full-time staff, attendance can be recorded using the HR System (GreatDay) every working day, when you start and finish work
Why do I need to record attendance?
For staff eligible for Overtime claims (Operations / Retail, etc.), attendance records are necessary when applying for overtime.
What if I come in late?
If you arrive late, it's important to inform your supervisor as soon as possible. Late arrivals can impact team productivity and disrupt schedules. However, you may need to compensate for the late time by leaving the office later, ensuring your work is completed without claiming overtime.
What is Absenteeism?
Absenteeism is when staff fails to report to work or stay at work as scheduled without submitting a leave application or informing the Supervisor/HR.
What happens if I am absent from work consecutively without approval?
If you are absent from work for more than two (2) consecutive working days without approval or informing the Supervisor/HR, it is considered a breach of your contract with the company.
What happens if I am absent from work without approval before or after a Public Holiday?
Without a reasonable excuse, you will not be entitled to any holiday pay for that day.
What is second job?
A second job is part-time work done outside regular working hours. However, staff are not allowed to engage in any other business or employment that conflicts with their position or the Company's interests during their period of employment.
If an employee wishes to take up part-time work in another department, prior approval must be obtained from their supervisor.
What should I do if I have another second job?
You must submit a self-declaration for the second job and ensure that it does not adversely affect your performance in your current role.
What is HOD Meeting?
A meeting on the first Thursday of the month where all HODs gather to discuss, conduct brainstorming sessions, and engage in strategic planning to enhance communication inter-departmentally.
What is All-Hands Meeting?
A meeting on the second Wednesday of the month where all staff gather to understand and know about the company's new products, new direction, announcements and information. Attendance at this meeting is not compulsory for the operations & retail team.
How I know there will be a meeting?
Announcements will be made in the HOD WhatsApp group. However, the meeting schedule is subject to change.
What is Salary payment?
Salary payment is a payment made to you for the work you have done every month.
When can I receive my salary?
Last day of the month.
When is the salary cut-off?
Salary is cut off from the 26th to the 25th of every month. During this period, you must submit:
a) Overtime
b) Medical slip
c) Medical Receipt
d) Outstation claim
e) Other supporting documents
How is salary calculated for new joiners?
For new joiner, incomplete month will be prorated based on the number of working days from your joining date to the 25th of the month.
Formula: Total days (Date join to 25th) / Total days (cut-off period from 26th to 25th) × Basic Salary
How is salary calculated for resigned staff?
For resigned staff, incomplete month will be prorated based on the number of working days from 26th of the month until last working day.
Formula: Total days (26th to last working day) / Total days (cut-off period from 26th to 25th) × Basic Salary
Can I share my salary amount with others?
No, you are not allowed to disclose individual salary amounts to maintain confidentiality and privacy among staff. Disciplinary action will be taken.
What should I do if I have an issue with my salary?
You must notify the HR within seven (7) days.
What is Statutory Contribution?
Statutory Contribution is a mandatory payment that both employers and employees are responsible for, using a portion of their wages.
What is included in Statutory Contributions?
These contributions include :
a) Personal income tax (PCB)
b) EPF (KWSP)
c) SOCSO (PERKESO)
d) EIS (SIP)
e) HRDF (PSMB)
Can I apply not to contribute?
No. Every staff must have a deduction from their wages for statutory contributions.
What is Probation?
Probation is a trial period for newly recruited staff in a new role, during which the employer can assess if the person they hired is a good fit for that position.
How long is the probation period?
The probationary period is either 3 or 6 months, as specified in your offer letter. It may be extended for an additional 3 months.
Why is my probation being extended?
Sometimes, it takes a bit longer for new staff to fully demonstrate their abilities at work. The Supervisor can extend the probation for an extra 3 months to assess performance more thoroughly or end the probation period.
What if I need to extend my probation?
If you need to extend your probation, the reasons could include the need to:
a) Improve your performance.
b) Meet targets.
c) Improve attendance or punctuality.
d) Correct general conduct within the workplace.
f) Learn a new skill to meet required standards.
g) Have regular meet-ups with the Supervisor for guidance.
h) Undertake any other actions deemed suitable.
How will my performance be reviewed?
The supervisor will evaluate your performance using the Performance Review Form. Once approved by the management, HR will issue a confirmation of employment letter to you.
What is Transfer?
The transfer is the movement of employee within the same grade from one job to another in the same company with a transfer probation period.
What are the conditions for transfer?
a) Initiate by employee or management.
b) Availability of a vacancy in the requested department.
How do I apply for a transfer?
a) Notify your Supervisor.
b) Submit the Department Transfer Form with approval from both supervisors in the current and requested departments.
c) HR will issue a confirmation of employment letter to you.
What is transfer on probation?
After a transfer, the supervisor will place employee on probation for either 3 or 6 months to ensure they can meet the expectations of their new role and responsibilities.
How will my performance be reviewed?
The supervisor will evaluate your performance using the Performance Review Form. If you are unable to fit into the new position, you may not be able to return to your previous position if it has been filled by someone else.
What is Promotion?
Promotion is a process where staff are considered for higher positions based on their work performance, experience, qualifications, and potential shown. It involves moving up the hierarchical levels within the organization and providing staff with increased responsibilities, authority, and a higher position.
What are the conditions for Promotion?
a) Applicable only for confirmed staff with confirmation letters.
b) The supervisor observes that the subordinate has good work performance and is ready for additional job responsibilities.
c) Staff who feel ready for higher job responsibilities can discuss with a supervisor.

What are the conditions for manpower requisition?
a) Replacement - After existing staff has tendered their resignation.
b) New Addition - Increase in the workload / expansion of the project scope within a department.
How do I submit a manpower requisition?
a) Obtain approval from the management.
b) Submit the Manpower Requisition Form.
c) HR will post the relevant vacancy.

What is a Bonus?
Bonus is a token of appreciation from the company to staff that values your work and accomplishments.
What are the conditions for the Bonus?
a) Applicable only for confirmed staff with confirmation letters.
b) Prorated bonus for staff working less than 1 year.
c) Outstanding performance and consistently good performance throughout the year.
When can I get my bonus payment?
The company may decide to give a bonus at the end of each financial year, but it is not mandatory.
If I resign before the bonus release date, am I still eligible to receive it?
No, the bonus depends on the company's decision to reward staff.

What is an Annual Increment?
An annual increment is a percentage or amount added to your base salary by employers each year.
What are the conditions for an Annual Increment?

b) Increment percentage or amount is subject to your performance.
When can I receive my increment letter?
The company may decide to give an increment annually, but it is not mandatory.
If I resign before the increment exercise, am I still eligible?
No, the salary increment applies only to active staff.

What is Resignation?
Resignation occurs when you decide to leave your current job and it involves a notice period.
How long is the resignation period?
a) During probation: 24 hours / 1 week / 1 month (as specified in your offer letter).
b) After confirmation: 1 month or 2 months (as specified in your offer letter).
c) The resignation period may be extended for a smooth handover.
When can I receive my last salary?
Your final salary will be processed at the end of the month following the completion of the handover with no pending tasks.
How About my balance Annual Leave (AL)?
a) Your remaining AL for the current year will be included in your final salary payment.
b) If you wish to use your current year AL to offset your notice period, you must obtain prior approval from your HOD.
c) Any carry forward AL from the previous year must be utilised during the notice period.
What are the processes for resigning?
a) Discuss your decision with your supervisor.
b) Submit a written resignation letter to your supervisor via email or letter.
c) The supervisor forwards it to HR once approved.
d) Hand over your tasks to the next person.
e) Return any company properties to the next person, supervisor, HR, or IT.
f) Print out your previous month's payslip from the HR System (GreatDay).
g) An Exit Interview will be conducted.
h) HR will send the Acceptance of Resignation Letter on your last day.
What is Retirement?
Retirement occurs when you decide to leave your current job upon reaching the age of 60.
What if I wish to continue my employment?
a) Discuss your decision with your supervisor.
b) You may be employed at management's discretion if required, on a fixed-term contract basis.
What is Training & Development?
Training and development programs help employees upgrade their job knowledge and skills so that they can improve their job efficiency and effectiveness in their careers.
What are the conditions for attending a training?
a) Initiated by the employee or supervisor.
b) Propose relevant courses with brochures and costs to your supervisor.
c) Submit the Training Request Form with approval from your supervisor and Management before registration.
d) For external training, forward the approved Training Request Form and brochure to HR at least 2 weeks before the training (if HRDF claim applies).
e) Employees serving resignation notice may not attend training without Management approval.
f) Courses costing RM1,000.00 and above will be bonded for a minimum of 1 year or subject to Management approval.
What should I do after I attend a training?
a) Forward a copy of notes / training slides to HR.
b) Forward your copy of the certificate (if any) to HR.
c) Fill out the Training Evaluation Form on the next working day after completing the training.
d) Apply what you have learned during the training to your work or with your team.
What if I tender my resignation during the bonding period?
After completing the program, you must work for the company according to the years specified in your bonding letter. Otherwise, you'll need to pay the company for any expenses incurred or on a prorated basis.
What are the Grievance Procedures?
A Grievance Procedure is the process for employees to raise problems or complaints with their supervisor or management.
a) Stage 1: Speak to your immediate manager : as it is the immediate superior’s responsibility to investigate the grievance.
b) Stage 2: Refer to HR / Management: If the complaint has not been resolved or responded to the satisfaction of both parties within 5 working days.
Note: The above time frames may be extended by mutual agreement of the parties.
What is Disciplinary Procedure?
Disciplinary Procedure is the process when an employee's behavior or performance falls below expected standards or violates company rules by using Employee Disciplinary Action Form.
a) Stage 1: Verbal Warning - The employee is given a verbal warning about their behavior or performance.
b) Stage 2: Show Cause Letter - If the issue persists, a written warning is issued to the employee, outlining the problem and consequences if it continues.
c) Stage 3: Warning Letter - If the behavior or performance does not improve, a final warning is given, clearly stating that further disciplinary action may be taken.
d) Stage 4: Dismissal - If the problem persists despite previous warnings, the employee may be dismissed from their position.

DI is an internal investigation process conducted by an employer to addresses allegations of misconduct or breaches of company policies by an employee. The process involves gathering evidence, conducting interviews, and providing the accused employee with a chance to respond. The purpose is to ensure fairness and due process in resolving disciplinary matters within the workplace.
