This job aid provides information on the Rent Roll with Lease Charges Report.
The Rent Roll With Lease Charges report is a comprehensive snapshot of units at your property as of the report date. For each unit, the unit type, square footage, occupancy status, and market rent is reported. For leased units, the report lists the household name, move-in date, lease expiration date, move-out date (if applicable), and a list of any charge codes and amounts that are scheduled lease charges. Use this report to ensure that scheduled billing is accurate for your units and that no required charges are missing.
This report also shows the deposit on hand for the household and the current open balance as of the report date. Use this report to review resident summary balances more closely with regards to the market rent versus what is actually being charged.
To generate this report:
From the menu, select Analytics, then Residential Analytics.
On the Residential Reports screen, complete the following:
Property - enter your property.
Month - enter the current month in the date range (i.e. 8/1/2023 - 8/31/2023)
Report Type - select Rent Roll with Lease Charges
Select Display to run the report.
A) Ensure Rent Transaction codes are never $0.00 under the Amount column. If rent is missing or shows $0, set up rent for the resident under Lease Charges within the resident account.
Tip! If you have property that has a high quantity of units, split the work amongst each other and review. It could save time when reviewing with 2 people working in conjunction with each other.
B) Audit any “Other” charges (ie. pets, storage, parking, maintenance, etc.) and ensure they are accurately being charged. Items should not be $0.00 (with the exception of CPET transactions that are $0 for tracking companion animals).
For any discrepancies, review lease charges within the resident profile to adjust dates or amounts as needed.
CM/ACMs should run weekly.
