This job aid provides information on Step 5 of the Pre-Close Review Process.
At Sequoia, we utilize Hunter Warfield to assist us in the recovery of balances owed from former residents. CM/ACMs must verify which accounts were sent to the 3rd party collections agency as the transmission occurs automatically through Yardi once the account has aged 60 days past the date deposit accounting occurred and a balance of at least $100 is owed.
Log into your Hunter Warfield account via Okta. Confirm which accounts were received and if there are any requests for missing documentation.
To log into the system, go to www.hunterwarfield.com using your Okta tile.

IMPORTANT: Internal IT will initiate a request with Hunter Warfield to set up account information for new hires. An email with account information will be sent to new hires within the first week of onboarding. Contact Internal IT via Helpdesk@sequoiaequities.com if you do not receive an account.
From the home page, click on the red “In Need of Your Attention” section to review accounts that are pending responses. These accounts may need additional documents provided, verification of the balance due, or other items before they can be processed by Hunter Warfield.
From the home page, select the Report Center section and navigate to the Collection Reports. From there, select the Account Confirmations. Select your property and a date range, then click “Report”. This will allow you to view all accounts submitted to Hunter Warfield.
In Yardi Voyager, use the Collections Tie Out Report to review the accounts marked as “Sent”. Compare the Hunter Warfield website and this report to ensure there are no discrepancies with the accounts that were placed.
If you have requested an account cancellation, ensure that Yardi Voyager reflects this update. Update the collections status and create a HelpDesk ticket to the Regional Associates category to request that any erroneous write-offs are reversed after an account is canceled by Hunter Warfield.
