Accessing your Microsoft 365 accounts via the web and by using apps
Discuss the features of Outlook (the mail program)

Find apps via MyApps
Go to: myapps.sdccd.edu
Sign in with your student email (probably 1st initial+last name @ student.sdccd.edu)
NOTE: If you cannot figure out your student email, go to myportal.sdccd.edu and look under "personal information" (under Student Quicklinks). Choose Email address to view the Student email address.

Click on the 9 squares to see all apps
Although you can use these apps in the online format, you may wish to use a desktop version. In particular, you will need the desktop version of Word in order to set up a mailing. Another advantage of downloading the apps that you use is to have an offline version without Internet.
Here is how to download the desktop versions of Microsoft 365 apps:
1. Sign into your Microsoft account: https://outlook.office365.com/ . You will need your SDCCD email address (flastname@student.sdccd.edu) and portal password.
2. Click on “install and more” (top right of page)
3. Choose “Install Microsoft 365 apps”
4. Follow instructions for download
5. You will again be prompted to sign into your account to use these apps.

Overview of Outlook Email
Email Management: Outlook helps you manage your emails efficiently, allowing you to organize your inbox with folders, labels, and filters. This makes it easier to keep track of important messages from teachers, classmates, and school administration.
Calendar: The calendar feature lets you schedule and keep track of classes, assignments, exams, and extracurricular activities. You can set reminders to ensure you never miss a deadline or an important event.
Task Management: You can create to-do lists and manage tasks directly within Outlook. This helps you stay organized and prioritize your workload.
Contacts: Outlook allows you to store and manage contact information for your teachers, classmates, and other important people. This makes it easy to stay connected and collaborate on group projects.
Integration with Other Microsoft Apps: Outlook integrates seamlessly with other Microsoft Office apps like Word, Excel, and OneNote, making it easier to share documents and collaborate on assignments.
Microsoft Outlook is an email program for Office 365. If you have other outlook accounts (live.com, Hotmail.com) you might be familiar with it. Also, when setting up student email, you may have decided to forward your email to a private address. Things to try with your Outlook Email account

Explore the layout: inbox, calendar, contacts.
Focused vs Other: Outlook keeps your important email in the focused folder, and stores others (ads, updates, etc.) in the Other folder.
Filter: You can search for specific emails by using the filter tab.
Outlook works with other tools in helping you to organize your life. Try the following:

create a recurring calendar event
access other apps by clicking on the 9 squares next to the blue SDCCD border.
OneDrive for Students is part of the Microsoft 365 suite available to students. It offers a range of features designed to help you store, sync, and share your files securely in the cloud. Here are some key points:
1 TB of Cloud Storage: Students get 1 TB (1000 GB) of storage space, allowing you to save a large number of files, including documents, photos, and videos.
Access Anywhere: You can access your files from any device—be it a laptop, tablet, or smartphone—ensuring you always have your important documents at hand.
Collaboration: OneDrive makes it easy to share files and collaborate with classmates on projects and assignments in real-time.
Security: Your files are protected with advanced security features, including two-factor authentication and ransomware detection.
Integration with Microsoft 365 Apps: Seamlessly integrates with other Microsoft 365 apps like Word, Excel, and PowerPoint, enhancing your productivity.
Using OneDrive:
While in Home, click on “new” and select one of the options. It will then open in that app. When you are done, it will be saved in your OneDrive account.
Click Upload to bring any of the files on your device to your OneDrive account. You can upload a file or a folder. It will be sent to My Files
Everything in your OneDrive is private. In order to make a file or folder public (accessible to anyone), you will use the share icon. Select the file or folder and click on either the box with the arrow (share) or the 3 dots (where you can choose the arrow). See next screen for instructions on sharing
When selecting a file in My files, you will have several different options. Selecting the file will provide some choices such as share, copy link, request files, sort and 3 dots. Clicking on the 3 dots provides more choices.
Set up a folder for today's activity
Instructions:
Open OneDrive using one of the methods described above
Sign in with your Microsoft 365 account
Explore your homepage. This is where all of your files and folders will be stored.
Create a folder for today's class:
Click on the " add new" button at the top of the page
Select "folder" from the dropdown menu
Name our folder (such as "holiday files" and click "create"
As you create the files today (Excel, Word and PowerPoint), put all of them into this folder.
You may need to upload a file which is on your device.
Click "upload" at the top of the page, choose "files" or "folders"
Select the files you want to upload and click "open"
Share: You can share your folder (or files) in OneDrive.
Open the folder you want to share (or click on the file)
Click on the "share" button at the top of the page
Enter the email addresses of the people you want to share with
Choose whether they can edit or only view the files
Click send
Microsoft Excel for Students is part of the Microsoft 365 suite available to students, offering powerful tools for data analysis and visualization. Here are some key features:
Data Organization: Easily organize and manage data using spreadsheets, tables, and charts.
Formulas and Functions: Utilize a wide range of built-in formulas and functions to perform complex calculations and data analysis.
Collaboration: Work on spreadsheets simultaneously with classmates, making group projects more efficient.
Cloud Integration: Save your work to OneDrive, ensuring your files are accessible from any device and automatically backed up.
Templates: Access a variety of templates to help you get started on projects, from budgeting to data tracking.
Using Excel to Create a Mailing List (for Holiday Cards): Creating a simple spreadsheet for a holiday mailing list.
Instructions:
Open Excel and start a new sheet.
Set up columns like Name, Address, City, State, ZIP Code, and any personal notes.
NOTE about Zip codes: If it starts with 0, the 0 may be omitted. In this case, you will have to format the cell. Select the zip code(s) that have 0 in the front. Right click and select “format cells”. In the number tab, select text and click OK.
Demonstrate how to format the sheet (e.g., bold headers, adjust column width).
Save the file where you can find it for the next step.
Note that you can add other fields (email addresses, phone numbers, birthdays)

Document Creation and Editing: Easily create essays, reports, and other documents with a wide range of formatting and editing tools.
Collaboration: Work on documents simultaneously with classmates, making group projects more efficient.
Cloud Integration: Save your documents to OneDrive, ensuring they are accessible from any device and automatically backed up.
Templates and Styles: Use a variety of templates and styles to enhance the appearance of your documents.
Research and Citations: Integrated tools help you research topics and manage citations, making academic writing easier.
Using Word and Excel for Mail Merge: Merge the Excel mailing list with Word to create personalized envelopes or address labels.
Instructions:
Open the desktop version of Word, select “Mailings” tab, and choose “Start Mail Merge.”
Select the document type (envelopes or labels).
Choose the product (in this example, we are choosing a #10 envelope)
Click on “Select Recipients” and choose “Use an existing list”.
Locate and select the Excel mailing list
Using the template for the project, select Insert Merge Field. Click on the center of the envelope and you will see a box. One by one, add the fields in the proper location.
Provide a space between the fields. Make sure and put a comma between city and state.
Enter your return address in the upper left corner
Preview to see how it looks on your page. Adjust as needed.
Complete the mail merge and preview the final output.
Demonstrate how to print or save the document for future use.
Here’s a detailed description of PowerPoint tailored for older adults who may want to create a presentation with pictures and music:
Microsoft PowerPoint is a user-friendly presentation software that’s part of the Microsoft 365 suite. It allows you to create engaging slideshows that can include text, images, videos, music, and other multimedia elements. PowerPoint is perfect for creating presentations for family events, community meetings, or personal projects.
With PowerPoint, you can:
Design Visually Appealing Slides: Use a variety of templates and themes to create attractive slides. Customize your slides with different fonts, colors, and backgrounds to match your style or the theme of your presentation.
Add Pictures: Easily insert photos from your computer or online. You can resize, move, and arrange your pictures to create beautiful slides. This is great for creating photo albums or sharing memories.
Include Music: Add background music to your presentation to make it more engaging. You can insert audio files from your computer and set them to play across multiple slides or just one.
Animate and Transition: Apply animations to text and objects to make them appear, disappear, or move on your slides. Use transitions to add effects when moving from one slide to the next, making your presentation flow smoothly.
Collaborate and Share: Work on your presentation with others in real-time. Share your presentation via OneDrive or email, and allow others to view or edit it. You can also present your slides online or in person.
Presenter Tools: Use tools like Presenter View to see your notes and the upcoming slide while presenting. This helps you stay organized and deliver your presentation confidently.
Create a slide presentation with pictures and music
•Prepare by putting all pictures into a folder. Also make sure that you have music on your PC.
•Open PowerPoint and Select Blank Presentation
•Click “new slide” under home button
•Add pictures: Click on Insert>Photo Album>New Photo Album
•Click organize>Select all and insert
•Note: Preview, reorder photos, update if desired
•Add music: Go to the first slide on your presentation. Click on Insert>Audio>Audio on my PC
•Find the music you want (mp3 or wav), click on it and insert. A small speaker icon will appear on the slide. Click on it and a toolbar will show at the top
•From the toolbar, click Playback. Then in the Start menu, choose play across slides. Check the Loop until stopped box if you want the music to repeat
•Optional transitions: Click on the transitions tab to make each slide change smoothly. Choose your effect (fade or wipe). Under advance slide, choose after 5 seconds
•To save the file: Go to File>Export>Create a video. Choose Full HD (1080p) for good quality. Save to your computer. It may take a few minutes to process.

AI Assistance: Copilot helps you draft documents, create presentations, and analyze data quickly and efficiently.
Real-Time Collaboration: Work seamlessly with classmates on shared projects and assignments.

Accessibility: Available across all major web browsers and devices, ensuring you can access it wherever you are.

· Excel: Ask Copilot to create a budget spreadsheet for your monthly expenses. And then ask Copilot to generate a pie chart of your monthly expenses
