Making Purchases

The Singapore Red Cross Society makes use of the Tenderboard system for procurement of products and services, such as provision of buffet lunch, hiring of venue, printing of banners/posters etc.

In cases when the RCY Chapter is tapping on HQ funds, it is strongly recommended for the RCY Chapter to seek assistance to make purchases via the Tenderboard, where possible.

Where not possible, the RCY Chapter shall request for Cash Advance from HQ for such purposes:

• Emergency Use

• Miscellaneous items (small value purchase of stationeries, items for games etc)

Make sure that you maintain proper transactional records related to the project, to facilitate the closing of Statement of Accounts.

1. Serialise the original receipts in the chronological order of purchases

2. Indicate the purpose of purchase

3. Update corresponding receipt serial number in your Statement of Accounts document

4. Photocopy original receipts

5. Keep the original and photocopy receipts safely

6. Keep any balance of Cash Advance safely with you

Expense > Budget for any expense item?

Please do provide supporting document (e.g. email with your community partner) to explain why there is a need to spend more than projected.
