In order to enhance the security of Zoom for our RCSD teachers, students, and staff we have set some of the defaults and have locked some features.
Do NOT post the Zoom link with an embedded password on social media or a public website. This is the main cause of "Zoom bombing."
The Join Link, Meeting ID and Passcode can be sent via:
Google Classroom
Seesaw
Direct Email
Text Message
Calendar Invite
Set a standard that only participants who have their first and last name as their profile name are allowed entry from the waiting room.
See video to show students how to change their profile name in Zoom before meeting starts:
ONLY invite active participants to the Zoom.
For those watching and listening only, consider streaming to YouTube (can be turned on in the settings) for viewers to watch and submit questions through a monitored YouTube chat). See Scheduling a Live Stream to YouTube for directions
Do not leave students unattended in breakout rooms.
There are no controls in breakout rooms for screensharing, chat, or participant controls or muting. Students should not be left unattended without adult supervision. Please use your best judgement.
Consider using the Waiting Room as an alternative for Asynchronous work time.
Hours and tutorials are being updated on a continual basis. http://rcsdk12.org/IT/OnlineSupport.
Virtual backgrounds have been turned off for students in all Zoom meetings. This is to ensure that unwanted pictures and/or videos are not possible as background images.
Chat is set to be off automatically. The host can turn on the chat in the settings BEFORE the meeting when they click on Zoom through ROConnect. When turned on, the host will continue to have control to block one-to-one messages between participants and the ability for participants to message everyone during the main meeting. Please note: There is no way to control the chat in a breakout if chat is turned on.
The annotation option is turned off so participants cannot draw on shared screens. The host of the Zoom can turn this option back on BEFORE the meeting in the settings when they click on Zoom through ROConnect.
**Students connecting on a Chromebook do NOT have the ability to annotate even with this feature turned on.
The host will see if the participant is signed in or joined without authenticating (guest). Please note: ONLY staff are authenticated users. Students will show as "Guest."
All participants are automatically put in the waiting room before entry. The host and co-host can admit participants or leave them in the waiting room.
*Please set a standard profile name for your participants and students to know who is entering the meeting or class.
(First and Last name, Letting Link for prek-K (if needed), an assigned number for prek-1 (if needed))
Participants are not able to join the meeting before the host.
All participants are muted with camera off upon entry.
Only the host and co-host can share screen as a default. The host can change the settings and give share screen ability during the meeting
The host is able to put participants in the waiting room as a “holding area.”
The host can remove a participant during a meeting. The default setting is that they will not be able to rejoin the meeting.
The host can mute all participants and not allow participants to unmute themselves. (A co-host can also mute and unmute themselves and other participants.)
All meetings require a password.
All Phone participants are required to enter a numeric passcode.
