For Organizations
If you would like to have the Equipment Management module turned on for your organization, please contact Support@PlayFinder.ca. We can start with a mass import from a spreadsheet, ask us for the template!
Once an organization has the Equipment Management module activated, you will see an "Equipment" drop-down menu on your organization management page. 4 menu options will be covered in detail here.
New Booking - To Book Equipment for a Family
1a) Use the search function to find a family then use the "Action" drop-down menu to select "New Booking".
note: users will have to opt-in to your organization on their profile to access your equipment and for you to book for them.
1b) Choose the type of equipment or leave set to "all", the date range, and click "Check Availability". Date range is required.
1c) Select the desired equipment via checkbox and click "Add to Loan'.
note: the history button will show you past info about equipment in a new tab.
2. Existing Bookings - To review and manage current active bookings
2a) Combine the text search with equipment loan status buttons at the top of the page to filter
2b) Find the booking in question and use the "Actions" dropdown to:
-Edit: to make changes to the booking, like adding or removing equipment
-Confirmed: to confirm the booking as is
-Cancelled: to cancel the booking altogether
3. Equipment Availability - a quick way to check if equipment is available
Use this search page to find out if a desired piece of equipment is available when requested before going through the booking process. This can save time creating a profile for someone if what they are looking for is already booked out.
4. Equipment - Organization Equipment Management Page
4a) "Create new" button to manually add new equipment inventory (same fields as image of editing below)
4b) To edit existing equipment, use "Equipment Type" and/or Text Search bar to find equipment|
-then use the Action dropdown to click "Edit".
4c) Click "Loan History" to review all past rentals for this piece of equipment
4d) Click "Copy" to duplicate the piece of equipment. Then use the "Edit" function on the copy to add tag and change other info
4e) Delete - to completely remove a piece of equipment from your inventory
When equipment is added, it will show up on your forward facing Equipment page. When a user clicks the "dufflebag" icon from the search page results or on your org details page, they will be taken to a page with booking instructions at the top (unique to your org) and a list of your equipment to browse/search.

To edit the instructions at the top of this page, go to your "Documents" from org admin and then click "edit" from the "action" drop-down menu on the "Equipment Loan Process" document.
