Job Description:
The Treasurer is a vital leadership position within the Pennsylvania PTA, serving as the primary financial officer, responsible for managing the organization’s funds, including budgeting, disbursements and receipts and maintaining accurate financial records. They provide regular financial reports to the PAPTA Board of Directors and membership, including monthly and year-end reports. The Treasurer ensures the PAPTA complies with all applicable financial regulations and files necessary tax forms, including IRS requirements. As a key member of the Board of Directors and Executive Committee, the Treasurer, in collaboration with the Secretary, works closely with the President and President-Elect to form the PAPTA officer team. This team provides essential administrative and strategic support to ensure the successful governance and operation of the association.
Responsibilities:
Serve on the PAPTA Board of Directors and attend all meetings (4-12 meetings/year);
Carries out duties as outlined in the PAPTA Bylaws and Standing Rules.
Direct accountant/office staff to make payments in accordance with the approved budget as authorized by the board;
Regularly communicate with the accountant monitoring income and expenses to ensure they are within the budget for all line items;
Present a full financial report of the auditor at the annual meeting of the Pennsylvania PTA;
Present a written report at each Board of Directors’ meeting;
Review event budgets developed by board members for accuracy and that it falls within the board approved line budget (i.e. convention, leadership training, etc.);
Work with the president and president-elect to prepare a proposed budget to be presented to the board at a budget meeting with the accountant prior to board approval;
Approve all expense account statements in accordance with the standing rules and policy manual;
Serve on the Executive Committee;
Have a working knowledge of Givebacks (PAPTA Membership Management Tool);
Assist with keeping the PAPTA website updated and relevant;
Attends statewide PTA Leadership Trainings;
Stay up to date on National PTA news and information; and
Prepare and submit articles for electronic newsletters and articles for the PAPTA website, e-blasts, and content for use on Facebook and other social media outlets.
