Job Description:
The Secretary is a vital leadership position within the Pennsylvania PTA, serving as the official record keeper and playing a crucial role in the organization's transparency, communication, and operational efficiency. They are the record keeper: Responsible for maintaining accurate and comprehensive records of the association’s proceedings, including meeting minutes (Board of Directors, Executive Committee, and Annual Meeting), official documents, and historical archives. The Secretary ensures proper documentation of all official actions, policies, and procedures of the PAPTA in accordance with the bylaws and established policies. As a key member of the Board of Directors and Executive Committee, the Secretary, in collaboration with the Treasurer, works closely with the President and President-Elect to form the PAPTA officer team. This team provides essential administrative and strategic support to ensure the successful governance and operation of the association.
Responsibilities:
Serve on the PAPTA Board of Directors and attend all meetings (4-12 meetings/year);
Carries out duties as outlined in the PAPTA Bylaws and Standing Rules;
Maintain an accurate record of all business transacted at each meeting of the association or executive committee/board;
Distribute minutes of the previous meeting;
Serve on the Executive Committee;
Have a working knowledge of Givebacks (PAPTA Membership Management Tool);
Assist with keeping the PAPTA website updated and relevant;
Attends statewide PTA Leadership Trainings;
Stay up to date on National PTA news and information; and
Prepare and submit articles for electronic newsletters and articles for the PAPTA website, e-blasts, and content for use on Facebook and other social media outlets.
