Transcript Requests
Olympia High School partners with Parchment and SchooLinks to send educational records.
Current OHS students use Parchment and SchooLinks for free. Alumni are charged a fee to send transcripts.
CURRENT OLYMPIA STUDENTS requesting a transcript for NON-COLLEGE reasons:
Request your transcript using Parchment.
You will first need to create your account. Please see this tutorial for instructions on how to create your account.
Determine if you need an official transcript or an unofficial transcript:
Unofficial transcripts are transcripts commonly used by you, as the student, to view for situations such as when you're going on a college visit or completing college applications.
Official transcripts are used for more "official" business such as needing verification of your residency when going to the DMV to get your drivers license or submitting your transcript to a college as a supportive document. Official transcripts are sent directly from Olympia High School to the receiving college either electronically or by U.S. mail.
3. Request a Transcript
Go to Parchment and click on the “Sign In” tab in the upper right hand corner to sign in with the email and password you registered with
Click on the “Order Your Transcript” button on the left side of the page
Search for your institution(s) or click "Send transcript to myself"
At this point, you can save and add another institution to your request by clicking the “Add another institution” tab and follow the same process or “Save & Continue” to finish your request. Once you have completed all of your requests for this session, click “Save & Continue” to finish the process, including acceptance of the user agreement
CURRENT OLYMPIA STUDENTS requesting a transcript for COLLEGE APPLICATIONS:
Seniors will need to log into their SchooLinks account and add the colleges/universities they're applying to in order to have transcripts electronically sent. Choose 1 set of instructions based on whether you are applying through Common App or not.
Follow the steps below if you're NOT using Common Application:
Go to SchooLinks and login: app.schoolinks.com and click "Login with Clever"
Go to Colleges (left-hand bar) and College Applications
Click Add Applications (top right blue button)
In the Search bar, enter the universities and choose your application status
When the university page pops up, choose the Application Method, Application Type (if applicable), Doc Destination (if applicable), Program Name (optional), and Student Requirements. Click Save Application at the bottom.
Your college(s) should show in your Incomplete or Complete & Pending column. There is nothing further you need to do. A counselor can now go in and upload transcripts to be sent to your colleges/universities.
Follow the steps below if you're YOU ARE using Common Application:
Create your Common Application account: commonapp.org
Under My Common Application, click on and fill out all parts of Education
Go to SchooLinks and login: app.schoolinks.com and click "Login with Clever"
Go to Colleges (left-hand bar) and College Applications
Under the column with "Final Lists applications" you should see a Common App section. Click on Connect and follow the steps to log into your Common App account and connect it with SchooLinks.
Once this connection is completed, your college(s) should show in your SchooLinks account under College Applications. There is nothing further you need to do. A counselor can now go in and upload transcripts to be sent to your colleges/universities.
ALUMNI INSTRUCTIONS:
Below are instructions for alumni students to order an electronic transcript through Parchment. There is a fee of about $10 to request your transcript.
Register
Go to Parchment and enter your school name. Please see this tutorial for instructions on how to create your account or go through the steps below.
Initial setup: Create an account for a “New Learner”
Use your personal email as this Parchment account will continue after you graduate
Follow the registration process by entering the required information. When entering your name, enter your full, proper name as it would appear on your transcript or in your school records. (If you are married make sure to put your maiden name as your last name.)
On the page you will have the chance to “Opt In” or “Opt Out” of the optional services. Be warned that if you decide to “Opt In”, your name will be sold to colleges, testing companies, and other entities that will solicit you
Complete the registration process by agreeing to the Parchment terms of service, you will then confirm your registration through an email sent to you by Parchment
You will then be sent to your homepage within Parchment and will need to enter your high school by clicking the “Start by adding a school or organization you attended” tab
Do a search for Olympia High School in Illinois
The next registration page asks for additional information. Be sure to waive your right under FERPA
You’re done! Now you can request transcripts through Parchment
2. Request a Transcript
Go to Parchment and click on the “Sign In” tab in the upper right hand corner to sign in with the email and password you registered with
Click on the “Order Your Transcript” button on the left side of the page
Search for your institution(s) or the words “Common Application” by name or state, click on the school (or “Common Application”) to add it to your list of schools to send transcripts to OR select option to send transcript to your email
At this point, you can save and add another school to your request by clicking the “Add another institution” tab and follow the same process or “Save & Continue” to finish your request. Once you have completed all of your requests for this session, click “Save & Continue” to finish the process, including acceptance of the user agreement
Electronic transcripts to the NCAA, Scholarship Organization, International Schools, Etc:
Go to Parchment and click on the “Sign In” tab in the upper right hand corner to sign in using the email and password you submitted when you registered.
Many national organizations, such as NCAA, are included in the Academic Destinations available through Parchment so you can simply research for these similar to a college or university
If a destination is not available under Academic Destinations, click the tab to send a transcript to “Yourself or Another Individual.” With this option you can send transcripts via email or paper to anyone you wish
At this point you can save and add another request by following the same process, or save and continue to finish your request. Once you have completed all of your requests for this session, click “Save & Continue” to finish the order
You will receive a confirmation email acknowledging your order and a follow-up when the transcript has been sent
Counseling Department: Requesting a Hard Copy Transcript/Records
You can come out to Olympia High School and request a hard copy of your transcripts/immunization records. You will be requested to fill out a Records Release form. (If the student is over the age of 18 they will have to request their own records). There is a $3.00 fee per copy of your transcript.
In the “Send Record To” section of the form include the name and address of where you want your transcript to be sent. If the transcript is for yourself, please write “Self” in this section. An official copy of your transcript will be provided in a sealed envelope. If the seal of the envelope is broken (i.e. opened) the transcript will no longer be official.
Schedule changes will only be made for the following reasons:
1. Academic failure as noted or confirmed by the subject area department chair
2. A change is required to meet graduation requirements for high school
3. A change is required for acceptance to a college, trade school, or program requiring a specific course of study.
THE STUDENT SHOULD NEVER DECIDE NOT TO ATTEND CLASS BEFORE AN OFFICIAL SCHEDULE CHANGE IS FINAL. Students have until the second full day of the new semester to make any changes in scheduling. Students can request a schedule change via the Schedule Change Request Form. Students automatically placed in courses due to the Accelerated Placement Legislation in the State of Illinois will need a parent to opt them out of the course. Counselors will look through the schedule change request and send the link for that form if it is needed.
Dual Enrollment Form - This form is required for any student wishing to take a course that is not offered on campus at Olympia High School. Students are required to enroll in two courses within the hours of the school day. Students will no longer have an advisory and will be required to check in and out through the main office. A meeting with the school counselor is required prior to a student enrolling in external coursework. All external coursework must be approved by the building administrator.
