*Maintenance > Attendance > Daily Attendance Setup (*Must be configured annually, does not import)
a. Districts should select a period since “Homeroom” does not function in Alt Enrollments for daily attendance (yet).
b. ENABLE “Allow building school level daily attendance”.
c. DISABLE "Allow period from alternate locations to drive daily attendance in official enrollment”.
Ending Semester and Marking Period dates too early will result in an inability to take Attendance, submit June Regents exams on students, and Day Calendar Data Warehouse export missing details. The following applies to ALL school levels including Elementary. The Configuration in all buildings and levels should encompass the final Rating Day and Calendar will have Regents entries detailing which school levels and grade levels are not attending classes (Students Off = Yes).
**Semester and Marking Period End Dates must cover dates up to and including the final June Regents Rating Day**
To adjust the school year configuration, navigate to Maintenance > School Year > Configuration. Select each building and school level, then Edit the Semester and Marking Period End Date to correct the issue.
Once adjusted to encompass the June 2026 Regents timeframe, attendance functionality will be available for relevant grade levels. Exams can also be submitted to student records via teacher submit screens and will show on Transcripts/Reports. Exports for Day Calendar, Assessment Fact, and any other related Data Warehouse items will also include the necessary information for reporting. Note again that these directions apply to ALL school levels including Elementary.
The Calendar (Maintenance > School Year > Calendar) should have Regents entries detailing which school levels and grade levels are not attending classes (Students Off = Yes). **NOTE**: June 9th and 10th are the early administration dates for the new science and Geometry exams. June 19th is a Holiday and is not Regents when entering Calendar details.
Please be advised, with recent changes made by NYSED, the following assessment has been renamed in all NERIC-supported SchoolTool DBs:
Old Name: New Framework Regents Examination in Global History and Geography II - Grade 10
New Name: Regents Global History and Geography II (Previously New Framework)
*NOTE - this is a name change ONLY. There is no impact on any courses, DW reporting, etc.
**REGENTS EXAMINATION NAME CHANGES**
BE SURE TO CHECK YOUR COURSE CATALOG - Regents Assessments that may be tied to courses may need to be updated. Remove the old assessment and add the correct one.
It has come to our attention that when syncing your Assignments from Google Classroom to your SchoolTool Grade book, due dates are defaulting to the date you sync. Please be sure to check all dates of your assignments.
There are two ways to add Google Assignments from the Grade Book Editor > Assignments tab:
Import assignments individually:
Click on the blue "Click here to import" link for any pending assignment.
You will then be presented with the "Add Assignment" pop-up (identical to the one found when creating new grade book assignments in SchoolTool). Here you can specify and/or confirm the assignment details (marking period, category, due date, etc.) in the Setup tab before importing.
Import multiple assignments in a single operation:
Use the checkboxes on the Assignments tab to select the pending assignments you wish to import. Then click the Actions menu and choose "Import from Google".
In the pop-up that appears, review the category and marking period to assign the imported assignments and click Confirm.
Assignments that have been imported from Google will be listed on the Assignments tab and will display both the SchoolTool name and the Google Classroom assignment name. The SchoolTool name will appear in bold blue text, the Google Classroom name will appear in parentheses after.
**UPK Program Service Codes**
To support NYS reporting requirements for the 2025-2026 school year, the new UPK Program Service Codes have been added as of the most recent release!
Effective September 24, 2025 - you can now add these new program service codes to student records.
Student Restraint/Physical Interventions
Student restraint/physical intervention information can now be tracked on Classroom Incidents as well as Discipline Referrals and additional fields have been added to allow districts to accurately record the data that must be reported to NYS.
To map Student Restraint Events to state codes (if not already enabled):
Maintenance > Discipline > Physical Interventions > Edit each physical intervention to select the State Response Code & save.
If these State Response Codes are not filled in, those restraints will not pull into the NYS Data Warehouse file.
Instructor Type Code
A new Instructor Type Code field is available in the Export Options pop-up on the Faculty History screen of the Master Schedule Editor. By default this is set to None. Districts can select "Substitute" or "College Course" if needed based on SIRS guidance.
Substitute teachers:
Report substitute teachers if they are estimated to work more than 40 continuous days in the school with "SUBSTITUTE" in the Instructor Type Code. These individuals would be serving as teacher of record for a course/section until a permanent teacher returns or is hired
College Instructors:
If a college instructor is teaching a course and students are receiving credit, a district, charter school, or BOCES teacher or administrator should be reported as the teacher of record and "COLLEGE" should be reported for the Instructor Type Code. (i.e. dual credit)
Teachers who are identified as a primary instructor for a course/section and are reported with either of these codes will be excluded from the annual course-certification match process.
