Define semester and marking period dates for the upcoming school year. Progress report dates may also be entered but are not required (if estimated dates are entered, the Marking Period and Progress Report settings may have to be “tweaked” before correcting the Semester data). Semesters are required to build a Master Schedule.
Note: This step should be performed as preparation for the next year’s Master Schedule.
Define the cycle day schemes that are used at each building. Unless this has changed from the previous year (from a 5-day schedule to an A-B schedule, for instance) then the exact values from the previous year should be used. These schemes must be defined at the start of the Scheduling process as this is a preparatory step for building the next year’s schedule; otherwise, schooltool will default the cycle day options to a standard 5-day week.

Define the district calendar with all holidays and special days, such as superintendent days. This can be done at any time but should be set as early as this information becomes available. It is also used for data warehouse reporting.

Specify publish dates for student schedules for each building school level (this is optional). When a publish date is defined, users who have the “Respect Student Schedule Publish Date” security option enabled will be unable to view student schedules outside of the Counseling module until after the publish date.
The Rollover tab allows you to quickly build a Course Catalog for the year based on a past year's offerings. You may be very selective in the specific courses that are chosen to be rolled over, skipping those that are no longer needed. A Course Catalog with at least one course is required in order to build a Master Schedule.

Go to the Frequently Asked Questions page and scroll down to "NYS Digital Access Survey" for directions on ending last year's records and creating new records for 2025-2026.
When a course is dropped, the course is removed from the student schedule. The course information (all progress report and marking period grades) will remain on the Counseling > Grades tab (Show Dropped Classes checkbox at bottom). The course will not appear on report cards after the marking period in which it was dropped. Nor will it be seen on permanent records or transcripts. A Drop is intended to suppress a course as though it did not happen.
A withdraw is typically chosen when a student is unable to continue the course or finished early, but should get credit for any accomplishments to date. You can withdraw a student from a course at any time. If the course is withdrawn after a marking period ends, any submitted marking period grades will remain and continue to print on the report card and transcript. The marking period during which the student was withdrawn may not show a grade, but may instead display a district-designated withdraw code (e.g. W ABS (withdraw–absent), WP (withdraw pass), WF (withdraw fail), etc.).
Use a switch when a student is moving from one section of a course to another section of the SAME course. A switch can only be used when changing sections in the same course. For example, if a student is scheduled in section 1, period 1 of a course and needs to be moved to section 2, period 2 you would use a switch. When switching from one section of a course to another section, marking period and progress report grades from the original section will switch to the new section. The switch creates a seamless continuation of these grades and course attendance without gaps. Students switched to a new section that is taught by the same teacher can have their grade book assignments imported into the new section as well, as long as the gradebooks are identical. Once the switch is made, history of the original section remains and can be seen in Counseling > Course History.
Forgot Password Updates: The Forgot Password experience has been updated to provide local account users with increased security and efficiency by introducing authentication codes and removing the need for temporary passwords.
Support for Updated NYS Discipline Requirements: Two new Discipline Disposition fields (IAES Removal by School Personnel and IAES Removal by Impartial Hearing Officer) have been added to Maintenance > Discipline > Dispositions. This allows districts to begin tracking student discipline records with greater detail and accuracy in preparation for the future release of the new NYS Data Warehouse Student Infraction Response Extract.
NYS Updates for Free/Reduced Lunch Program Service Codes Eligibility Reasons: Changes have been made throughout SchoolTool to correspond with NYSED reporting requirements. This includes updates to the Free/Reduced Lunch Program Service Code Eligibility Reasons.
NYS Updates for the Day Calendar Extract: Changes have been made throughout SchoolTool to correspond with NYSED reporting requirements. This includes the addition of a new Day Type Code used in the existing NYS Day Calendar Extract.
Online Registration-Receive Student Data Updates: As part of a continued effort to improve the Online Registration experience, a variety of enhancements have been made to the existing Receive Student Data screen. This includes Student ID visibility, updated error messaging, and display of selected Student, Contact, and Address information when available.

Teacher Home > Classes > Submit Marking Period Grades: Mass Apply Comments in Submit Marking Period Grades does not automatically update the comment icon for all students.
Workaround: Refresh the page and the comment icon will display 'blue'.
Mindex is aware of this and is expected to fix it in a future release.
Teacher Home > Classes > Submit Marking Period Grades: If a teacher has already clicked Copy Grade Book Averages, the scores are successfully saved in the database but do not update on the screen unless you navigate away & back to that page. If a user tries to Copy Grade Book Averages again, an error is thrown.
Workaround: When you navigate back to Grade book - DO NOT click on Copy Grade Book averages again.
Mindex is aware of this and is expected to fix it in a future release.
