12.1 The personnel file of each teacher shall be maintained at the District’s office.
12.2 Teachers shall be provided with copies of any derogatory written material at least five (5) days before it is placed in the teacher's personnel file. The teacher shall be given opportunity, if requested, during normal working hours and without loss of pay to initial and date the material and to prepare a written response to such material. The written response, submitted within fifteen (15) days, shall be attached to the material.
12.3 A teacher shall have the right at any reasonable time without loss of pay to examine and/or obtain copies at personal expense of any material from the teacher's personnel file, except materials originating prior to employment in this District.
12.4 All personnel files shall be kept in confidence and shall be available only to the District Administration or Administration designee, Board members acting as Board in Closed Session, and to the teacher and his/her designee.
12.5 Any written material placed in a teacher's file shall be signed and dated. Any written materials placed in a personnel file shall indicate the date of such placement.
12.6 Access to personnel files may include a representative of the LTA, providing the teacher gives his/her authorization in writing.
