To save time and reduce manual data processing, LACES now automatically moves forward eligible assessments when Washington students enroll in a new fiscal year. This applies only to class enrollments beginning in FY25–26.
When a student is enrolled in a class (manually or via WA import), LACES checks for eligible assessments from the prior fiscal year. An assessment is auto-moved forward if all the following conditions are met:
The assessment is level-defining
It falls within 180 days of the enrollment date
It is the highest Educational Functioning Level (EFL) for that subject
The test is not expired
Only one assessment per subject area is moved, based on the highest EFL in the allowable window.
💡Note: When an assessment is auto-moved forward due to a new class enrollment, it remains moved forward even if the enrollment is deleted. To revert the assessment, delete the assessment record that was moved forward. Do not delete the original assessment from the prior fiscal year.
Auto-move will not occur if:
The assessment is outside the 180-day range from the enrollment date
The assessment is expired or from a test with an expiration (e.g., CASAS Reading GOALS post 6/30/25)
Each assessment in LACES includes a Record Origin ID, which identifies how the record was created:
The Assessment Origin can be found when viewing assessments within the student record in addition to the areas below:
You can view the Record Origin in the Audit Log of the assessment record.
💡Note: Audit records are available for 365 days.
The Record Origin column is available in the All Assessments area and can be added to custom views using the View Manager.
Use Criteria Manager on the Students and Assessments tabs to search by Record Origin.
💡Note: In the Students tab, you must select Assessment.Record Origin to access this field.
