You request time off work in Skyward Employee Access.
To request time off, select Time Off > My Requests > Add.
On the Add screen, select the appropriate Time Off Code that corresponds with your request and your balances. Your available balances are displayed at the top of the box.
Next, select the Reason Code that corresponds with your request.
You are required to enter a description for your requested time off. This will display to your supervisor during the approval process.
Enter the date and the number of hours requested. The start time will default according to your regular schedule, if you have one, but can be modified if needed. If you are requesting a partial day of leave, please enter the request for the number of hours needed to equal a full day of work based on your paid hours, not your schedule.
EXAMPLE:
Regular paid working hours = 7.0 hours
Amy Assistant’s schedule is 8:40AM- 4:10PM (7.5 hours with a 30 minute unpaid lunch)
Amy Assistant reports to work at 8:40AM and physically works in the building until 12:40PM (4 hours), but needs to leave early.
Question: How much time off should she request?
Answer: 3.0 Hours - Amy Assistant worked 4.0 hours of her 7.0 hour paid day, so she should request 3.0 hours of leave, regardless of the end time of her schedule.

Special Educational Assistants, like teachers, are required to take time off in half-day increments.
You may select other employees to be notified of your absence, if approved (team members, for example). Please always select to notify the Financial Secretary and Assistant Principal who manages subs at your school for payroll purposes (LES - Gina Perugia/Kim Louis / LPS - Christa Matheny/Susan Kee & Tami Boeve). School Nurses should select the CSH Facilitator, Blake Warne, to be notified of all absences.
If you are an employee who requires a substitute in your absence (teachers, SPED assistants, school nurses), YOU MUST CHECK THE BOX FOR “Sub Needed” prior to clicking Save.
NOTE: The only way a substitute will be scheduled is through entering an absence in Skyward Employee Access and rerouting to Red Rover.
FOR SPED ASSISTANTS: If you are requesting less than a half-day increment of time off with prior approval from your supervisor, DO NOT check the box for “Sub Needed.”
Always remember to click “Save” to submit your request. This will automatically open Red Rover, if applicable.
Note: If your position does not require a substitute, you may not see the “Sub Needed” option.

Anytime you need to negate a transaction in Skyward, you can do so by entering the same time off request and adding a negative (-) in front of the number of hours (even if you are reversing just minutes, put a -0 in the hours box and the minutes in the minutes box). Make sure you use the same date and time off reason code, and in the description you can add "no longer needed" or similar. You can use the same type of transaction if you take a number of hours that is greater than the number you actually used.
Negative time off transactions will be submitted to your supervisor for approval and when approved, the balance will be added back to your time off allocation.
Once you have entered the negative transaction, you can enter another positive transaction to correct the issue if needed.
If a FULL-TIME employee requests unpaid leave for a reason NOT covered by the FMLA, they must submit the request in Skyward, and the request must receive both the supervisor's and the superintendent's approval before it is considered approved leave. These requests should be sent to the supervisor first, and if approved, the supervisor should forward the request to the superintendent, notifying him of their approval. The superintendent will respond with his approval, if applicable, and the supervisor will pass this along to the employee.
If a FULL-TIME employee requests unpaid leave for a reason that IS covered by the FMLA (i.e., runs out of sick leave and needs to be off due to illness or to care for a sick child), the request should be put in Skyward and the employee should be specific in the description box about why he/she is requesting No Pay. The supervisor may approve these requests, but the employee may still have to complete the Leave of Absence Request process in Incident IQ, depending on the reason.
For PART-TIME employees who do not accrue paid time off, all requests for time off should be entered as No Pay in Skyward. The supervisor may request documentation to support the request.
If you have not previously taken a "No Pay" day, you will nee to email HR@lakelandk12.org to have this time off code added to your profile.
Email HR@lakelandk12.org if you need to dispute your time off balance as reflected in Skyward.
You can view your time off balances in Skyward Employee Access.
Navigate to Time Off > My Status
This tab will display your available sick, vacation, annual, and personal/professional time (if applicable) through “My Status.” This is also where you will request all leave through “My Requests.”

Notify your supervisor of your Jury Duty Assignment as soon as possible.
If you have never been assigned Jury Duty while an employee of Lakeland School System, email HR (HR@lakelandk12.org) to request the Jury Duty Time Off type be added to your employee profile.
Human Resources will confirm your request, and send follow up requirements. Once you have been notified that Jury Duty has been added to your time off codes:
Navigate to Time Off > My Requests
On the Add screen, select the appropriate Time Off Code.
Next, select the Reason Code that corresponds with your request.
Enter the date and the number of hours requested. Begin with only the days you know you will be required to attend Jury Duty. Subsequent days can be added as needed.
Employees will need to complete a request for a leave of absence as early as practical, preferably no fewer than 30 days in advance of the start date of the leave request. The employee’s supervisor must approve the request. All requests for a leave of absence should be submitted in Incident IQ (New Ticket > Human Resources > Request Leave).
