Group Field Period® Keuka College faculty interested in sponsoring a group Field Period® will complete the call for proposal form in cooperation with Field Period® Office. To mitigate risk to the College, the use of a third-party vendor is required. Group Field Period® experiences require each participant to adhere to the Policy on College-Sponsored Travel. The group Field Period® proposal will consist of the following components: 1. A course syllabus consistent with the course description in the Keuka College Record for FP 302 and consisting of the following components: a. Description of the proposed group Field Period®, to include: i. What students will be doing during this Field Period®. ii. Requirements for preparation, including meetings or seminars prior to the experience, as well as projected time commitment. iii. Expectations for student participation. b. Precise course objectives. c. Description of the means by which students make formal commitment to participation in the group Field Period® (e.g., make initial deposit). d. Required texts, equipment, etc., specific to this course. e. Indicate all Field Period® requirements participants must fulfill to achieve a satisfactory grade. f. A tentative itinerary of the group Field Period® experience. g. A risk management plan describing potential hazards and how these will be mitigated, and what kind of insurance(s) will be carried and/or required. Emergency contacts and plans will be provided. 2. A change new course proposal submitted through the Curriculum Management System requesting consideration of the group Field Period® as a special topics course along with the course syllabus, will be submitted to the Curriculum Committee and provost for approval. After approval, the syllabus will be forwarded to the Center for Experiential Learning and Career Engagement for implementation. 3. Budget – The budget will describe the estimated overall costs of the trip, the costs for each participant, and any College resources that may be required. 4. For all Group Field Period® experiences, whether international or domestic, the faculty member will work with the Field Period® Office. Customarily, the travel expenses of a faculty member who sponsors and leads a group Field Period® are covered through the third-party vendor, since the College does not cover them. The extent of expense coverage is determined by the ratio of students to faculty established by the vendor. A faculty member who sponsors and leads a group Field Period® may not accept any further compensation or additional incentive from the vendor beyond their own airfare, lodging, and any meals and experiences offered as part of the travel package. If any additional compensation is offered, the faculty member must stipulate that it be placed into a fund that will benefit the students enrolled in the group Field Period®. The fund may be allocated equally to each student who has made the trip to lower the overall cost of participating in the group Field Period®, or it may be used to pay for a meal or outing for the entire group that was not part of the original budget and schedule. The faculty member who sponsors and leads a group Field Period® must explain in writing what the additional compensation will be used for and receive approval from the provost and or their designee. 5. The budget will be submitted to the Field Period® Office and provost for approval.
