Please follow these steps BEFORE YOU ADD YOUR COUNSELOR TO ANY APPLICATION for all counselor letters of recommendation and school profiles/reports.
Remember: If these steps are not followed, counselors may decline to write your letter. It is your responsibility to provide all required materials and reminders to ensure your counselor has what they need.
NEVER email your counselor asking for a Letter of Recommendation or School Report if you have not met with them in person first.
If you have already submitted for November 1st deadlines, please make sure you have completed all of the following steps for additional letter of rec requests.
STEP 1
INITIAL IN-PERSON MEETING REQUIREMENT
Meet with your counselor IN-PERSON at least 4 weeks before the first recommendation letter deadline.
If you have January 1st deadlines, the last date to meet in person with your counselor is November 27th.

After your meeting, email your counselor the following documents within one week. Please have these submitted all in one email with Google Doc links or as a PDF. Please make the subject line of your email “YOUR NAME - Counselor Letter of Rec Materials”
Your email should contain a list of schools and scholarships to which you are applying with dates and deadlines.
Your resume or brag sheet (How to Write a Brag Sheet Guide & Template)
Make sure you then add your counselor to your Common App or Scholarship Portal.
STEP 3
ADDITIONAL LETTER OF REC REQUESTS
For any new deadlines after your initial request (such as additional scholarships or schools), please notify your counselor by email with at least two weeks' notice before the new deadline.
STEP 4
SHOW YOUR APPRECIATION
Writing recommendation letters is time-intensive. We recommend sending a thank-you letter afterward.
STEP 5
DEADLINE REMINDER EMAIL (One Week Before Deadline)
Send a reminder email to your counselor one week before your deadline.
REMINDERS
REMINDERS!
COMMUNICATE!!!!!! When in doubt, it's always better to over-communicate. If you need any help or have any questions, don't hesitate to ask your counselors or Makayla at the College and Career Center. It's important to remind your counselors and teachers of deadlines well in advance and always stay on top of your work.
Additional Letters of Rec after Submitting your initial request: If you require additional letters of recommendation to be sent after your initial deadline, please make sure to email your counselor at least a week in advance and inform them of the additional deadlines.
For scholarships - if you need a letter of recommendation, please follow this process within four weeks of the deadline. Also, don't forget to include the scholarship name and link in your College List.
If you have any questions please email makayla.ward@k12.hi.us !

Need a Teacher Letter of Rec?
TEACHER LETTER OF REC MAY BE NEEDED
If you need a letter of recommendation from a teacher, follow the similar process above. Firstly, ask your teacher in person if they would be willing to write you a letter. If they agree, you can add them in Common App or on the application website as a recommender.
Next, within a week of getting their confirmation, you should email them all the same materials This will help your teacher to understand your achievements and goals better, and write a more personalized letter.
Remind them within one week of your first deadline, as teachers can be busy and may forget. And, don't forget to express your gratitude by writing a thank you letter after receiving the recommendation.
