SAFETY INSTRUCTIONS:
Delegates must have their lanyards on them at all times, especially when coming into the school, or moving between campuses. In case it is lost, or the information on it is wrong, please contact your chairs, directors, or the Executive team as soon as possible. As this conference takes place during school hours, regular students will be on both campuses, and the lanyards are necessary to differentiate them. Delegates are also asked to maintain a respectful attitude outside committee rooms. The only time they are allowed not to have it is when going to the bathroom during committee sessions. In this case, they will have to give it the admin and retrieve it when coming back to the committee room. This is to allow admins and chairs to keep track of the delegates outside the room at any given moment.
If a delegate has any problem, whether technical, medical, personal, or other, they must inform their chairs promptly.
In case of a medical emergency, there are infirmaries on both campuses, which will be open on Thursday and Friday. On Saturday, as both infirmaries will be closed, an ambulance will be on-call. Admins will be able to guide delegates to these locations if need be. Directors will be informed by the chairs. In the case of a problem involving mental health, chairs should also be informed, and they will make arrangements on a case-by-case basis, according to the problem and to the delegate.
The conference will take place on two separate campuses, connected through a small gate. There are different emergency protocols for each campus. The admins will be well versed in each procedure, and will help in case of emergency. In addition, these will be explained briefly in the opening ceremony.
Campus 3000:
If the Fire/Evacuation alarm rings, all delegates should take stairs if needed and go to the soccer field located in the middle of the campus. If there is another type of emergency, instructions will be delivered over the PA system. Delegates will be separated according to their committee, and role call will be conducted by their chairs. In case of doubt, please consult the admins.
Campus 2900:
If the Fire/Evacuation alarm rings, all delegates should follow the exit signs (example provided below), take the emergency stairs to the side of the school to proceed to the bus bay, and leave the campus using the two gates available on the side of the road beside the bus bay. The emergency rendezvous point is Tavistock park, located right outside the doors. If the evacuation route is obstructed, different instructions will be given over the PA system. Delegates will be separated by committee, and chairs will conduct roll calls (a detailed presentation on the rendezvous point is provided below).
Lockdown alarm:
In the rare case of a lockdown alarm, called when there is an internal or external threat, participants will be asked to use the following mantra:
RUN to the nearest hiding space, as long as you’re sure it is safe to do so (this is most often the nearest classroom)
HIDE by locking your doors, turning off the lights, and barricading the doors (this serves to delay intruders, and allow first responders to arrive)
Admins are once again well versed in this procedure, and should be able to help. Chairs will also be briefed prior to the conference.
If delegates are in the 2900 Amphitheater, special instructions will be given for this alarm. They include moving to the classrooms in another building.
If a delegate has a disability or an injury restricting their movement, they should inform their directors or their chair at the beginning of the conference, so that plans can be made to cater to them in case of an emergency.
If such an individual is present, and an emergency situation is declared, other delegates, admins, and directors may be asked to help evacuate this individual, as elevators may be unusable. In the event that this is impossible, there are PWD points in both campuses, where a wheelchair user can be left while waiting for help to arrive. A button located nearby should be pushed to make the security team inside the fire command center to be aware of the situation, and the civil response team should be contacted immediately using the number available below so that they may focus their effort on the evacuation of the wheelchair user.
