In this module, participants will gain a deeper understanding of suggestions and handouts that can be used to inform employees of their responsibility to accurately keep track of their leave. Employees are responsible to submit leave forms for pre-approval, and they have other responsibilities related to leave accounting.
In 2010, the DOE's Internal Audit office reviewed Leave Data and Timekeeping Process at 22 schools and offices. The review included detailed testing of leaves, approval, coding, and data entry for the month of August 2009.
The report said "schools and offices for which processes were well supported by management had little issues with employees submitting forms on a timely basis and in some cases had very few absences in comparison to other schools and offices. For example, at one of the schools visited, the Principal briefly covers the requirements for taking leave (i.e. required forms, timing of requests, etc.) during a staff meeting at the start of the school year." At this school, none of the issues found at other schools were noted. Issues found at other schools included patterns of potential abuse, lack of leave request forms, personal or vacation leave approved after the fact, and proper support not submitted for absences.
