Freshers' Meet Guide Lines
Guidelines for Organizing the Inter Faculty Fresher’s Tournament at the University of Peradeniya
Physical Education Division- University of Peradeniya
1. Objectives: Establish objectives for careful planning and execution to ensure a memorable and enjoyable Freshers' Sports Meet for the university community
2. Organizing Committee: Director of Physical Education is esponsible for organizing the Inter Faculty Fresher’s Tournament. The Organizing committee includes Instructors of Physical Education and members of the Sports Council.
3. Event Schedule: Develop a detailed schedule outlining the timeline of each sporting event, including warm-up sessions, matches, and rest periods, ensuring minimal disruption to the academic activities of the faculties.
4. Setting Dates and Venue: Select appropriate dates and a venue for the Inter Faculty Fresher’s Tournament, ensuring inclusion in the University Event Calendar.
5. Registration Process: Establish a registration process for participating faculties and teams.
6. Opening Ceremony: Plan an opening ceremony to inaugurate the Sports Meet. The ceremony will include speeches, performances, flag hoisting, and a torch relay to create a festive atmosphere. It will be conducted according to the approved agenda.
7. Monitoring Student Activities and Marches to Ensure Smooth Traffic Flow during the Inter Faculty Fresher’s Tournament:
• Communication and Awareness: Maintain clear communication with the Deans and Deputy Proctors of relevant faculties to coordinate events that may impact road traffic. Obtain necessary permissions for such events.
• Designated Routes: Establish specific routes for student marches within the university premises. Designate starting points for faculties, such as Kirihala or the Gajasingha bridge end entrance of the University grounds, and the Arts Theater end, whenever feasible.
• Monitoring and Enforcement: Regularly monitor student movement and march patterns, ensuring smooth traffic flow within the university premises.
8. Promotion and Sponsorship: Interuniversity Invitational Tournaments: Organizers can collect sponsorships and donations. All funds should be deposited into the university's general account following university-approved financial regulations.
9. Officiating: Ensure qualified officials or referees are arranged to oversee matches and enforce fair play.
10. Rules and Regulations: Establish clear rules and regulations for each sport, including eligibility criteria, game format, scoring system, and code of conduct.
11. Safety and Medical Services: Prioritize participant safety by having appropriate medical personnel and facilities on standby. Coordinate emergency procedures with the Health Center of the University.
12. Equipment and Supplies: The Physical Education Division is responsible for procuring necessary equipment and supplies for the Inter Faculty Fresher’s Tournament.
13. Hospitality and Amenities: Provide amenities such as water facilities , parking, waste management, and restroom facilities for participants and spectators.
14. Closing Ceremony and Awards: Conclude the Sports Meet with a closing ceremony to celebrate the achievements of participants and teams. Present awards and certificates to winners and acknowledge the contributions of volunteers and sponsors. It will be conducted according to the approved agenda
15. Feedback and Evaluation: Gather feedback from participants, volunteers, and stakeholders to assess the success of the Sports Meet and identify areas for improvement.
16. Final Report and Financial Statement: Prepare a final report and financial statement detailing the outcomes of the Inter Faculty Fresher’s Tournament.
