During the conversion process, your final data extraction will typically be scheduled several days prior to
the final conversion upload.
Any updates/changes/additions/deletions that take place in your current practice management/Clinical
charting applications that are made after the final data extraction will NOT be included in your final data
conversion.
These items will need to be manually entered in Denticon. Your trainers and field support team will work side by side with you to enter these items. Your current practice management system may have audit reports available for items like schedule changes, new patients, and transactions.
You will need to update the schedule to make any appointment changes/additions/cancellations etc.
This should be given the highest priority to avoid possible double booking of appointments.
Converted appointments all come over as a default appointment type i.e., Denture or Fillings. These will all need to be updated to the appropriate production type.
Attach procedures to the appointment either through Quick Add or from Treatment Plan. If adding from Treatment Plan, go to the treatment planner to add procedures then go back to the appointment on the schedule and add from the treatment plan tab available.
Anything that is added in the quick add will not show up in the patient restorative chart i.e., fillings etc. Only add routing hygiene, exams, and denture steps via Quick Add
Print the Update Patient Insurance Conversion List By Appointment, or From Schedule Right click Appointment (House) Patient overview.
In Patient Overview,
Click on the “Primary” word under Dental Insurance Section (and Secondary where needed)
The “converted” insurance information will display in the Notes section. Use this information to update the patient record in the Primary Insurance Conversion Carrier; these are the following options (plus random private payors, but we will fix those)
In the top Left Box, In the SEARCH TEXT box, Enter the number that corresponds above.
Verify the Remaining deductible & maximums for the year based on your previous software or insurance verification. If in-house plan – Update the Subscriber Plan Effective/Term Date
Go into the TX and re-estimate the Treatment Plan
Select the correct TID or Tx Plan ID (typically, it is 1) – Select Re-Estimate
This will shift the Est from Patient to the correct Est pat/Ins amounts
Back to the Patient overview and edit Patient Information
Remove UP – Update Information and select the correct Patient Type, i.e., Insurance, Senior Citizen
Update Relationship to Responsible Party if needed
Then click on the “other family members” icon. The one with multiple people.
If there is a list of family members, then go to each patient to update them as listed above.
For any notes that need to be transferred from your previous clinical chart note, you can copy and paste the note into Denticon.
Open the chart note in your previous application, highlight the text, and copy
Open the corresponding patient in Denticon and select progress notes.
Click "Add New Note" from the bottom of the screen
Click into the note area and paste the note text
Next select the calendar in the upper right corner of the screen to modify the date to the date of service
